The Oregon Secretary of State is one of three constitutional offices created at statehood. As an independent constitutional officer, the Secretary of State answers directly and solely to the people of Oregon.
The Secretary of State employs approximately 200 full-time, part-time, and temporary employees. The Secretary oversees the functions of seven program divisions: Archives, Audits, Corporation, Elections, Business Services, Information Systems, and Human Resources.

WHAT YOU WILL DO:
In this role, you will perform routine support to all eight divisions within the Secretary of State. The purpose of this role is to provide support via receiving and processing ingoing/outgoing mail, issuing building access badges, processing supply requests, and tracking agency supplies and equipment. This is accomplished in part by, but not limited to:
Mail Support:
  • Prepare and process outgoing mail and packages
  • Maintain accurate log of daily incoming mail
  • Receive, open, sort, and distribute mail and packages
Stockroom and Inventory:
  • Order, stock, and distribute manuals and forms for divisions
  • Conduct the Agency’s physical annual inventory for non-IT assets
  • Organize and account for all stored supplies and equipment
  • Process supply requests
  • Update asset management system when supplies and equipment are purchased, used, or disposed
Building Maintenance, Service, and Repairs:
  • Process new and departing employee key card requests
  • Process requests from divisions for scheduled equipment repairs and building maintenance/repairs
  • Perform ergonomic assessments for employees as needed
  • Work with divisions to coordinate moves and reconfiguration of system furniture

Your application must demonstrate education and/or experience in the following:
Three years of stocking, storeroom or warehouse experience which included purchasing a variety of supplies, equipment or materials, maintaining inventory records, and shipping and receiving materials and equipment.
Additional Requirements:
Must be able to work under the following conditions with or without reasonable accommodations: requires lifting of objects up to 50 lbs.
As the most competitive candidate, your application will demonstrate the following requested skills and experience:
  • Experience with supply management and processing supply requests/receiving
  • Experience with inventory management
  • Familiar with Herman-Miller office furniture, or equivalent
  • Experience with facility management; granting access, requesting repairs, and projects
  • Experience with ergonomic assessments
