Job Description

Stabbert Maritime is a Seattle-based maritime company focused on providing unique maritime solutions for its customers. The Company is currently looking for an Operations Coordinator. This position will work closely with the Operations Manager and Port Captain to coordinate vessel operations including human resources, vessel needs, client interface, port calls, and crew requirements.


Mission:To successfully coordinate vessel operations and crewing processes to ensure that the vessel fleet is manned and that vessel operational requirements are met with a commitment to excellence and safety.


Scope of Work:Coordinate vessel operations including human resources, vessel needs, client interface, port calls, and crew requirements, and anticipate future crewing needs ensuring the vessel is operating safely and fulfilling client and charter contract requirements.Occasional travel to the vessels for inspections or to assist in project management as required.


Essential Functions:

•Anticipate and respond to vessel daily needs.

•Create charter summary sheet for each contract inclusive of all major items.

•Coordinate vessel logistics including port calls, pilots, parts through customs, agent coordination when visiting foreign countries, notice of arrivals and departures, etc. as directed by the vessel Port Captain.

•Carry out crew rotation per schedule.

•Complete crew contracts – and ensure all documents and licenses are up to date prior to flying crewmember to vessel.

•Communicate with crew when they are off rotation.

•Coordinate all crew travel, contracts, accommodations, and COVID testing.

•Acts as liaison between crew and family.

•Manage visa process for crew.

•Process crew payroll Monitor, track, and file vessel daily and SMS reports.

•Monitor renewals for onboard safety equipment including fire extinguishers, life rafts, EPIRBS, etc.

•Purchasing and logistics: ensure vessel requisitions are reviewed and when approved, track purchases and ensure delivery to the vessel.

•Participate in weekly vessel operation calls.

•Liaison between ships, internal company departments, and occasionally vendors and clients.

•Assist with injury and illness claims.

•Miscellaneous duties as assigned by the Port Captain and/or Human Resources.

•Understand and support SMS onboard the vessels


Minimum Requirements:

  • Maritime background a plus
  • Must have a US passport
  • Strong ability to organize and communicate with others
  • Strong work ethics, values, and principles
  • Experience with operations or human resources
  • Results-oriented, self-starter with a high level of initiative
  • Ability to connect and communicate with all levels
