UW Medicine’s IT Services department has an outstanding opportunity for a Training Logistics Coordinator!
In collaboration with UW Medicine IT Services (‘ITS’) and under the general guidance of the End User Adoption Manager, the primary focus of the, the primary focuses of the Training Logistics Coordinator (‘Coordinator’) are:
Developing medical center staffing plans and office processes in support of the training and go-live phases of medium to large sized projects.
Gaining and utilizing subject matter knowledge expert on the education logistics of the CIS department, Learning Management Systems, and complex logistics for multiple School of Medicine and Graduate Medical Education (GME) training programs including residency and medical student programs.
Establishing, refining, and maintaining standards for EHR education scheduling and delivery logistics, capture statistics, and recommend programmatic changes after analysis of data.
Coordinating computer training room use and reservation requests from a wide array of UW Medicine departments and resources.
Collaborating with educators, analysts, inpatient and ambulatory clinical managers, UW Graduate Medical Education liaisons, UW School of Medicine liaisons, and UW School of Nursing liaisons to develop and maintain class schedules and classroom reservations.
RESPONSIBILITIES
Training Requests and Registration (50%)
Collaborate with various onboarding groups to identify and assign training tracks for end users.
Respond to requests for staff, practitioner, student, volunteer, and other ad hoc training via multiple methods (centralized email box, Service Desk Manager (SDM) help tickets, etc.)
Close assigned SDM tickets within the standard service level agreement timeframe.
Create and maintain class information in the Learning Hub.
Register staff and practitioners for EHR classes in the UW Medicine Learning Management System (the Learning Hub).
Reporting, Data Capture and Analysis (15%)
Assist Sr. Training Coordinator with creating and maintaining standard reports from the Learning Hub.
Generate and distribute class rosters prior to each class, when necessary.
Enter attendance completion information into the Learning Hub, when necessary.
Assist Sr. Training Coordinator with generating and distributing professional, statistical reports from the Learning Hub (such as class/training program attendance, completion, and competency statistics) that can be used for presentations to project leadership and Medical Center staff.
Create ad hoc queries to the Learning Hub database for educators as needed.
Computer Training Room Reservations (10%)
Work closely with ITS and CIS Leadership, Training Development and Delivery Specialists, Nurse Managers, Charge Nurses, Clinic Managers, Department Managers, Nursing Staff Development staff, and physician liaisons to gather required information and secure computer training room reservations for new employee orientation, medical/nursing student/resident rotations, medical staff onboarding, and project training.
Update, maintain, and coordinate multiple training room calendars/schedules to satisfy multiple (and possibly competing) training facility requests with meticulous attention to detail and accuracy.
Monitor room reservation email account and follow up on room reservation requests.
EHR Training Logistics Methodology (10%)
Assist Lead Training Coordinator with developing and maintaining procedures and planning for overall EHR training logistics methodology.
Assist Lead Training Coordinator to apply logistics-management principals to develop standardized procedures for operations registration, attendance, course completion, etc. in EHR training across disciplines.
Assist Lead Training Coordinator in updating education logistics procedures based on enterprise changes in related programs (e.g.: SOM, GME, etc.).
Assist Lead Training Coordinator with creating and maintaining registration documentation as required by auditors.
Administrative Responsibilities (10%)
Support organizational contacts and administrative contacts within UW Medicine system as appropriate for mission.
Document and maintain database/spreadsheets with contacts for user groups to include residency programs, SOM, etc.
Assist Sr. Training Coordinator with responding to inquiries in a timely manner from internal and external program administrators, attending MDs, residents, fellows, Medical Directors, and other students.
Other (5%)
Work with manager to set professional goals for career development.
Act as back-up for other team members and functions, as needed.
REQUIREMENTS
Bachelor's degree in Computer Science, Information Technology, Business Administration, or related field or equivalent combination of education and experience.
2+ years of experience must include:
2+ years of healthcare operational or clinical background in a large academic medical center or other health care setting.
Demonstrated experience independently providing technical, end-user support on system applications.
Familiarity with EHR clinical applications in an inpatient, acute, or ambulatory care organization.
Demonstrated experience in organizing, planning, and executing projects from vision through implementation, involving internal personnel, contractors, and vendors.
Proficiency in MS Outlook, Word, Excel, PowerPoint, Publisher, Adobe Acrobat Professional, and SharePoint.
DESIRED
Master’s degree in Education, Instructional Design, Adult Learning, Technical Writing, English, Clinical Informatics, Healthcare, Communication, Technology, or related field.
Experience in and knowledge of academic healthcare systems and/or operational environments.
Experience with Training Program Coordination, including responsibility for scheduling and training room logistics.
Demonstrated experience training or mentoring clients in the use of new technologies and technical concepts.
Knowledge of clinical and other health care information systems applications.
CONDITIONS OF EMPLOYMENT
This is an Information Technology deadline-driven work environment.
The individual in this position is expected to work normal daytime hours. The work may be performed in either an office environment or by telecommuting with manager approval; however, significant off-hours and weekends may be needed to resolve problems and respond to emergencies. This individual is expected to be available for emergencies (business continuity/disaster recovery efforts) on a 24x7 basis as needed.
Must coordinate projects without direct supervisory authority.
Must work within the constraints of multiple technical environments.
Ability to communicate effectively in English, both verbally and in writing.
