Main Purpose of Job

Reporting to a designated member of Senior Management the Operations Coordinator provides operational and administrative support to MSDE Divisions for the development, implementation, and management of programs that support MSDE Divisions, as well as oversees internal and external stakeholder partnerships at the State and local levels. The incumbent will plan, organize, develop, manage, and coordinate special projects which includes generating ideas, providing feedback from key stakeholders, and achieving Department goals objectives, and milestones determined by the Senior Management.

This key operations position coordinates and completes specialized duties that support internal efforts and initiatives specific to the Blueprint for Maryland’s Future and Maryland State Department of Education’s multiyear Strategic Plan. Further, the position ensures that operational tasks are completed in accordance with policies, regulations, and guidelines to support students, teachers, and educational support staff with safe, healthy, and educationally supportive learning environments.

POSITION DUTIES

Coordinates programs and initiatives by identifying, developing, and implementing activities and events that support efforts and initiatives specific to the Blueprint for Maryland’s Future and Maryland State Department of Education’s multiyear Strategic Plan.
  • Coordinates and completes assigned projects including, information requests, status tracking, preparation of high-quality written correspondence, documents, letters, memos and other documents using industry standard software and systems such as Microsoft, Adobe, and Google in a service level-based timeline.
  • Provides program management and administrative support for events and programs from conception to execution, including detailed project planning, project implementation, and evaluation.
  • Acquires and allocates resources, including financial resources, and backing, as needed to accomplish activities within established schedules and budgetary requirements.
  • Serves as a liaison to the Office of Procurement and Contract Management to identify and coordinate vendors for Division - Office purchases.
  • Analyzes requests and information and determines which process or action is necessary and prepares appropriate correspondence.
  • Ensures team members have the supplies and resources needed to complete assigned tasks on time and within budget limitations.
  • Applies knowledge of MSDE policies and objectives to identify, define, and organize resources for large and small-scale projects, recognition, and partnerships events.
  • Coordinates Division Operations including events, logistics, and recommending, obtaining and allocating equipment and supplies.
  • Coordinates and provides administrative support for office and division-specific projects and initiatives.
  • Coordinates with the Office of Information Technology for acquiring technology, mobile communications, including cell phones and hot spots, and copy machine services.
  • Addresses and provides appropriate information to internal and external stakeholders and answers inquiries based on a thorough knowledge of Division initiatives and knowledge of policies, procedures, and applicable regulations.
  • Serves as liaison to the Office of Human Resources to coordinate staffing and new employee onboarding processes.
  • Recommends improvements to Division leadership with regard to operational programs or procedures and coordinates implementation of improvements.

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Four years of administrative staff or professional work.

  • Ability to follow instructions and prioritize and respond to inquiries from internal staff, constituents, stakeholders, and the general public and present recommendations clearly and concisely;
  • Knowledge of standard business English;
  • Ability to maintain confidentiality of sensitive information;
  • Ability to exercise judgment and discretion in applying and interpreting departmental policies, laws, rules, regulations and procedures;
  • Knowledge of organizational structure, staffing patterns and administrative controls;
  • Knowledge of principles and practices of business operations, project management and office administration;
  • Skill in time management and personal organization;
  • Ability to communicate effectively and maintain effective working relationships in a team environment;
  • Skill in preparing detailed and accurate documentation;
  • Ability to plan, organize and direct the work of others;
  • One year of experience providing coordination and program support to projects and initiatives.
