This position is assigned to Maine Revenue Services’ (MRS’) Operations Processing Center, providing office and administrative support work performing complex, varied office support tasks requiring the operation of technical office equipment. Responsibilities require independent judgment, initiative and discretion to make determinations on varied matters, including interpretation of tax laws, MRS rules and regulations, and departmental policies and procedures. Essential skills include the ability to maintain knowledge of tax procedures and tax forms, as well as the ability to ensure appropriate processes are followed. Effective communication skills, exceptional customer service, attention to detail, and accuracy will be necessary. This position requires flexibility and adaptability due to the cross-functional aspects of the job.
Representative Tasks
  • Exercise sound communication skills, ensuring all work items assigned to the unit are completed in a timely manner. Staff members will demonstrate flexibility while performing tasks assigned, in the end meeting the unit goals.
  • Research and accurately post payments to taxpayers accounts.
  • Monitor, examine, and review complex tax application forms, supporting documentation, and computer records and files to ensure the completeness of information collected and processed, and to ensure the accuracy of information maintained.
  • Update MRS host tax system with new business accounts, taxpayer account names and addresses, and account closures. Contact taxpayers by phone or letter to obtain correct information as needed. Update MRS image storage system based on incorrectly processed taxpayer data. Utilize MRS systems to ensure accurate processing of records.
  • Provide customer service for incoming calls to the Taxpayer Assistance phone queue, assisting users with general questions pertaining to property tax, withholding, personal and business accounts; registration and navigation of the MRS website.
Minimum Qualifications
Training, education, or experience in office and administrative support work that demonstrates 1) competency in applying a proficient knowledge of modern office practices to perform advanced administrative support tasks requiring specialized skills, and 2) the ability to use independent judgment, initiative, and discretion to make determinations on varied matters. All positions in this classification assume the qualifications of: Office Assistant I, Office Assistant II, Office Associate I and Office Associate II. Preference will be given to candidates with customer service and applied tax knowledge.
All job candidates applying for Maine Revenue Services’ positions will be subject to a tax clearance check. To be selected for a position, all returns must be filed, and tax liabilities must be paid in full. The results of the tax clearance check will be documented as part of the selection process.
