Position Summary
As the Office Manager, you will play a pivotal role in the daily operations of our client's office, contributing to a smooth and efficient workflow. Your responsibilities will encompass a range of administrative tasks, requiring strong organizational abilities and a friendly, professional demeanor.
Primary Responsibilities
Manage daily office activities and facilitate client events, ensuring smooth transaction management.
Provide administrative support including call handling, research tasks, email correspondence, and addressing team's administrative needs.
Schedule Meetings, Client Showings, And Manage Other Scheduling Requirements.
Draft, format, and prepare various documents as needed.
Handle office-related tasks such as supplies management, shipping, and office tech maintenance.
Perform additional clerical tasks and errands as necessary.
Competencies
Demonstrated ability to work independently and make informed decisions.
Exceptional organizational and time management skills.
Strong written and verbal communication skills.
Supervisory experience in overseeing virtual assistants and coordinating tasks.
Travel
Approximately 10-20% travel, primarily for pre-listing appointments and event planning.
Some evenings and weekends required for client appreciation events.
Requirements
Required Education/Experience:
Minimum of 2 years of experience in a similar role.
Bachelor's degree or equivalent work experience.
Proven organizational prowess, attention to detail, and effective multitasking.
Quick learner with a proactive attitude.
Self-motivated and capable of working autonomously.
Proficient in modern business software and tools such as MS Office, Google Business Suite, DropBox, CRM, and Project Management tools.
Preferred Education/Experience
Passion for real estate or a strong desire to excel as an Office Manager.
Prior experience in supporting small team environments.
Background in the real estate industry is advantageous.
Embraces teamwork, takes initiative, and demonstrates ownership.
