Current Opening:

Our Prineville, Oregon office seeks adedicated office manager and intake specialist.This team member is integral to scheduling Central Oregon new client intakes and managing the day-to-day operations of our Prineville office.

    Intake:

    The Client Intake Specialist will communicate with potential new clients who contact the firm through phone, email, and website submission; research prospective new clients and related parties using firm databases and web-based applications, conduct conflicts checks, manage the firm’s client matter database, and open new files. We are seeking a candidate with the following:


    Required, Critical Qualifications and Skills for this Position:

    • Proficiency in Microsoft Office applications, including Word and Outlook.
    • Strong organizational and time-management skills.
    • Ability to learn and work in a fast-paced, dynamic environment.
    • Enthusiasm for developing creative solutions to problems.
    • Excellent customer service skills.
    • Strong professional communication skills (both verbal and written).
    • Confident, well-spoken, engaging personality.
    • Problem-solving, empathetic listening skills.


    Office Manager:

    As office manager, you will help facilitate the day-to-day operations of our Prineville office. Some common responsibilities would include (but are not limited to) the following:

    • Maintaining the facilities: Replacing indoor / outdoor lightbulbs, repairing broken furniture when possible, troubleshooting appliances, etc. Outdoor property upkeep (leaf blowing, bulb planting, watering, etc.).
    • Scanning projects.
    • Maintaining/updating office files, both paper and electronic.
    • Manage 3rd party vendors such as the landscaper and housekeeper.
    • Processing mail, email, faxes, and hand deliveries.
    • Assisting with basic office needs such as keeping desk items stocked, offices clean, setting up and cleaning up daily lunches, and creating comfortable and presentable office spaces for our clients.
    • Organize and seasonally decorate the office.
    • Supply ordering.


    Qualifications: Our ideal candidate would have the following skill sets:

    • Superior attention to detail.
    • Bachelor’s Degree preferred.
    • Enthusiastic about teamwork; able to adapt and think quick, remain professional.
    • Ability to lift 50 lbs.
    • Natural talent for staying organized and productive in a dynamic, deadline-driven environment.
    • Professional in attire.
    • Excellent oral and written communications.
    • Proficient in Microsoft Office suite.
    • Valid driver’s license and clean driving record.
    • Experience in an administrative support or customer service role and/or 1-2 years of relative office experience is preferred.
