POSITION SUMMARY
The Office Coordinator supports our internal team on a variety of administrative tasks and multi-department projects. This position is a stepping stone towards a multitude of paths for growth within the organization around project management. Some of these tasks include scheduling conference rooms, ordering executive lunches, maintaining office supplies and supply closet organization, receiving and distributing mail, updating various digital trackers, and filing paperwork. However, a majority of the duties involve special “one-off” projects that involve supporting multiple departments.
To succeed in this role, the Office Coordinator should be highly independent, accepting tasks from all levels of the organization and reporting to an administrative team lead. They must possess sharp attention to detail, an exceptional aptitude for learning new tasks, and the ability to prioritize his/her workload in a fast-paced and ambiguous environment.

OBJECTIVES
- Assist in coordinating team assets for new team member onboarding regarding office & parking passes, as well as IT equipment setup
- Responsible as a keyholder for the organization
- Ensure all recurring administrative tasks are fully executed with the utmost attention to detail, efficiency, and within deadlines
- Submit tickets to the Security or Engineering team regarding employee issues including HVAC, Water Filter, Cleanliness, Pest Control…etc.
- Work with the Director of HR on seating arrangements, office furniture orders…etc.
- Facilitate the coordination with the building to assist the Events Team in hosting remarkable events for our clients
- Represent Cardone Ventures with a high level of professionalism, friendliness, maturity, and customer service in every client interaction, fostering genuine relationships and inspiring trust in the organization
- Serve as the point of contact for Building Security & Engineering team
- Proactively identify improvement recommendations while working on designated projects
- Follow applicable processes and procedures when purchasing collateral for the organization and are diligent when submitting receipts
- Keep track of all inventory (i.e. office supplies, IT equipment, kitchen supplies), taking into account events or expected visitors
COMPETENCIES
- Substantial experience with G-Suite (Sheets, Documents, GMail, Calendars, Slides)
- Can bring high energy to the team in order to serve as a point of contact throughout the office for clients, vendors and team members
- Ability to work within spreadsheets to track inventory being returned or shipped to the office location
- Has an eye for aesthetics to observe and maintain office cleanliness and appearance
- Ability to identify the correct stakeholder when problems arise in the office whether it be HR, Security, Engineering..etc.
- Experience with HubSpot and Asana preferred
- Basic levels of technical acumen to work with IT teams when setting up new hires or addressing questions in the office
- Ability to find better deals or discounts when purchasing office equipment and supplies
- Possess a basic level of financial acumen to work with the Director of HR on developing an Admin Budget
EDUCATION AND EXPERIENCE
- At least 2 years work experience in a similar office or customer service role
- High School Diploma or equivalent
- Must possess a valid/active driver’s license and a functioning vehicle
PHYSICAL REQUIREMENTS
- Prolonged periods sitting at a desk and working on a computer
