Now Hiring: Office and Events Manager


Looking for a versatile position to support and enhance a dynamic and growing office? Our client, a culture-based engineering firm in the DC and Baltimore region is looking for an Office and Events Manager to support their collaborative team.

Responsibilities for this position include a wide variety of tasks that encompass business administration, human resources, information technology, marketing, and event coordination! The Office and Events Manager will work closely with the Director of Operations to oversee daily operations. These responsibilities include but are not limited to:


Business Administration

  • Manage firm calendars and coordinate appointment scheduling for events as appropriate, including but not limited to team trainings and events, interviews, and external meetings
  • Review and process employee timesheets weekly
  • Coordinate any facilities requests to ensure office is adequately maintained
  • Manage incoming and outgoing mail, deliveries and packages
  • Answer telephone calls and emails from clients and vendors and direct them to relevant staff
  • Greet and direct visitors upon arrival on in-office days
  • Convert new business proposals to projects upon award, including updating company accounts and files
  • Apply for and maintain company licenses, certifications, insurance renewals and vendor accounts
  • Coordinate and book travel for employees

Events

  • Conceptualize, plan, and manage a variety of events, including:
  • Assist with maintaining a calendar of college and university career fairs and recruiting events; coordinate and schedule firm representation at each and assist with preparing any required collateral
  • Assist with maintaining a calendar of client, industry, trade organization, and business development engagements
  • Small-to-medium internal and external company events such as team lunches and dinners, client meals and meetings, happy hours, and bi-monthly team outings
  • Large scale internal and external events such as an annual holiday dinner, annual leadership retreat, and client appreciation events
  • Attend events as required to ensure proper execution

Human Resources

  • Ensure adherence to company policies and procedures and track as necessary
  • Coordinate administrative onboarding and offboarding employees, including organizing employment paperwork, updating company accounts and systems, administrative training, etc.
  • Work with Director of Operations on special projects and other tasks as necessary to support human resources policies and initiatives

Marketing

  • Establish relationships with internal and external clients, vendors and consultants as the main point-of-contact for the office
  • Assist in maintaining firm’s online presence, including company website, newsletter, LinkedIn, etc.
  • Assist in preparing materials and collateral for marketing events and client meetings as requested
  • Update and maintain firm contact list
  • Work with the marketing team on special projects and other tasks as necessary to support marketing initiatives
  • Assist with logging attendance and processing certificates for external client presentations

  • Bachelor’s Degree (or equivalent) from an accredited university
  • Proficient in Microsoft365 applications (Word, Excel, PowerPoint, Teams)
  • Show dedication, effort, and initiative
  • Excellent project and time management skills
  • Understand firm’s mission, goals and values and actively work towards them
  • Submit timesheet and expense reports accurately and on time


The Office and Events Manager will require three (3) days in the Washington, DC office per week (Tue-Thu) with two (2) days remote (Mon & Fri). There may be a need for additional in-office days from time to time to support the responsibilities of the role (e.g. new hire onboarding, meetings an events, etc.). In addition, the Office and Events Manager will be required to visit the Baltimore, MD office monthly, and on an occasional, as-needed basis to support the responsibilities of the role (e.g. new hire onboarding, meetings an events, etc.).
