Job Description
As the Office Administrator, you will be responsible for providing administrative support to the branch and serving as the key contact for employees, clients, regional management, and corporate. You will be the glue that holds the branch together, supporting your team by ensuring accurate and timely completion of administrative tasks.
Our company compensation package includes:
  • Monthly Health Insurance Stipend· Two weeks paid vacation· Eight company-paid holidays· Company provided phone· Laptop
  • Starting salary $32,000.00 to $40,000.00 (based on experience)
Responsibilities:
  • Process payroll for hourly personnel, ensuring accurate and timely entry of weekly timesheets and changes· Generate weekly aged accounts receivable reports and follow up with clients to ensure timely payment· Manage purchase orders and accounts payable invoices, including weekly reporting· Answer phones, order supplies, file documents both paper and digital, and manage incoming and outgoing mail· Prepare and maintain new hire packets, employee personnel files, and I-9 binders· Coordinate uniform ordering, distribution, and returns· Ensure compliance with workers compensation and OSHA reporting requirements· Perform accounts payable/accounts receivable functions· Prepare job cost reports· Download activity and reconcile bank and credit cards· Ensure timely bill payment· Obtain and distribute COIs· Perform general office administrative work· Maintain professional relationships with vendors, subcontractors, financial institutions and other company personnel· Prepare month-end and monthly close material as directed
Requirements:
  • Excellent communication and interpersonal skills· Proficient in Microsoft Office Suite and Google Suite· Ability to learn new software· Strong organizational and multitasking skills· Ability to work independently and as part of a team· Attention to detail and problem-solving skills
  • 2- or 4-year degree in business or a related field and/or a minimum of 3 years of experience in a business office with accounting related responsibilities.
