Position Purpose

Responsible for managing office operations, maintaining accounts receivables, and providing customer service for Western Slope. Assist Corporate HR office with special projects, daily task and location specific HR needs.


Essential Functions:

  • Adhere to all state and company policies and procedures
  • Remain Compliant with drug and alcohol policies
  • Maintain work productivity over differing conditions
  • Attendance


Principal Accountabilities:

  • Verify all invoices are signed or receipts from retailers are on file (DSD sheets).
  • Process route invoices for all drivers on a daily basis. Scan checks and balance money received to amounts posted in Encompass.
  • Apply all money and communicate any discrepancies (short pays/skips) daily with the assigned sales rep and/or the customer’s accounts payable department (chains).
  • Prepare/send daily/weekly accounts receivable aging reports to sales/customers/admin. Use customer notes to track collection issues and communications. Follow up daily, as needed.
  • File/scan daily invoices and remittances.
  • Adhere to all company policies and procedures.
  • Assist with closing load sheets daily. Process all special deliveries and verify that inventories are balanced on all tickets that have been turned in.
  • Track money & paperwork errors. Communicate information to the operations manager.
  • Assist others in the office when needed.
  • Maintain Petty Cash in a secure location and distribute, with proper documentation, receipts for Western Slope employee reimbursements.
  • Assist with answering the phones and taking messages.


HR ACCOUNTABILITIES

  • Conduct new employee orientations within 1 week of hire. Schedule and conduct onboarding meet and meet and greets.
  • Communicate personnel issues or termination notices to Corporate HR Office and management.
  • Forward all corrective action and accident reports to Corporate HR Office and management.
  • Send employee paperwork (benefits, court orders, garnishments, credit/employment verifications, 401k paperwork, etc.) to Corporate HR Office.
  • Assist Corporate HR Office with special projects, daily tasks and location specific HR needs.
  • Communicate accident/injury information a.s.a.p. to Corporate HR Office and management.
  • Assist with monthly random drug/alcohol screenings and forward results to Corporate HR office.
  • Conduct Exit Interviews for terminated employees.
  • Assist with new hire paperwork including; i9s, Direct Deposit, offer letters, and Onboarding Checklist in Paycom.
  • Understand and communicate HR policies and assist in maintaining employee forms and personnel files.
  • Assist in the pre-employment process including scheduling observation interviews and other tasks as requested by Corporate HR office
