Why does the job exist?

This position provides administrative support and assistance to customers and staff and is the first point of contact for NMLB callers and visitors.

How does it get done?

This position acts as the receptionist for the NMLB Administrative Office. This includes, but is not limited to, taking all incoming calls and responding to inquiries regarding animal health, import requirements of livestock, brand registrations, renewals and transfers, taking messages, transferring calls accurately, etc. Assisting walk-ins by accepting payments for brand renewal and or transfers which may include updating information on brand holders (i.e., updating addresses, telephone numbers, payment information, etc) in the brand data base, as well as printing new brand wallet cards; accepting payments for various tags and health certificates sold to veterinarians; and prepare deposits from tag and book sales as well as brand application fees. This position acts as backup to the entry permit line.

This position is also responsible for the distribution of the agency's mail, copy and fax processes, to include but not limited to, opening and date stamping mail and slotting to appropriate person; packing and applying postage or UPS shipping to inspectors; distributing faxes to appropriate staff; ordering and maintaining stock of copy, postage and fax supplies; contact for repairs of machines to ensure they are operating properly. This position is also responsible for the Sale Barn Records and Deposits that are sent to the office from the field staff; these documents are separated, date stamped and forwarded to accounting staff.

This position provides support to the Brand clerk by assisting with the processing of mailed in renewal payments and transfers; the State Vet's office by ordering and maintaining records for trich tags including the sale and shipping of tags and maintaining the calendar for the state vet; and any other office area in need of assistance.

Employment Requirements

Must possess and maintain a Driver's License and have own mode of transportation. Pre-employment background investigation is required and is conditional pending results.

Work is performed in an office setting. Sitting and bending at the waist for extended periods of time. Extensive telephone and computer use. Working directly with the general public. Lifting up to 20 lbs.
