Overview: The Medical Scheduler contributes to a smooth clinic flow and patient satisfaction by coordinating appointments for patients and providers. Schedules and provides clear instructions for walk in patients and those that call in needing an initial or follow-up appointment or procedure. The position has the possibility for working from home two days a week and working either 5/8-hour days or 4/10-hour days with Thursdays off.


Essential Responsibilities


Performs all functions according to CCHC mission and values.


  • When scheduling medical appointments, ask patients provider preference and schedules patient consistently with selected provider according to policy #41-21 Patient Panel
  • Returns phone calls to patients within two business hours of receiving a message.
  • Performs other duties as assigned.
  • Asks the triage nurse for assistance with walk-in patients and difficult scheduling situations according to policy #01-09 Triage Policy.
  • Maintains a clean, organized, and safe environment for staff and patients.
  • Follows established policies and procedures for safety, infection, and exposure control.
  • Checks out patients and makes follow-up appointments.
  • Treats all CCHC patients as valued customers.
  • Answers telephone in a prompt, polite and helpful manner.
  • Verifies and updates patient information such as phone numbers and address changes.
  • Schedules patients for medical appointments according to the payer mix indicated by the DON and according to policy #41-17 Management of the Medical Appointment System
  • Maintains history of no shows and discusses ramifications with patients.
  • Explains visit processes including times, items needed for appointment, and other information necessary for visit.
  • Displays a caring and helpful attitude when interacting with patients, vendors, and fellow employees.
  • Places reminder calls to all medical patients at least one day prior to appointment.
  • Ensures providers are scheduled for the budgeted allotted number of patients daily.
  • Assists in training staff on proper scheduling procedures as directed by clinic manager.

  • Utilizes time efficiently to maximize productivity and minimize patient waiting time.
  • Maintains confidentiality regarding CCHC, its clients, and employees.
  • Accurately and timely schedules appointments, according to clinic protocols.


Minimum Qualifications


  • Experience with Allworx softphone system preferred.
  • Prior experience in a medical/dental office setting preferred.
  • Minimum of high school diploma or GED required.


Pre-employment drug testing and background check required.
