Job Description
The Manager, Compliance & Quality Assurance, serves as a key subject matter expert and lead for DAOU’s federal and state regulatory activities in the areas of wine production, alcohol sales, distribution, and tasting room operations. This position is responsible for auditing wine activity and raw material data entry, tracking and tracing multi-tier wine lots from harvest to bottling, coordinating data entry corrections, and facilitating federal, state, and local report preparation.


Core Responsibilities


Records & Reporting


  • Apply for, maintain, and renew all licenses, registrations, and as needed to support operations of the company.
  • Prepare all federal and state regulatory reports accurately, on time, and in collaboration with third-party partners as applicable.
  • Oversee all federal, state, and local permit updates for all facilities, including changes at current sites, the addition of new sites, basic permit updates, letterhead applications, etc.
  • File for all county fictitious business names when required.
  • File for all TTB permit amendments like trade name additions and corporate officer or director changes.
  • Facilitate monthly California Winegrower’s, and semi-monthly TTB excise tax returns for all production facilities.
  • Compose and maintain reports for annual production, wine lot gains and losses, ShipCompliant activities, and other statistical and analytical information, including reports about our compliance and quality assurance efforts.
  • Maintain all records and documentation in an organized, appropriate, and easily accessible way.


Inspection, Review, & Audit


  • Perform other related duties as assigned.
  • Develop, review, and recommend policies and practices to improve efficiencies and comply with local, state, and federal regulations pertaining to related areas of responsibility; recommend revisions to existing policies to ensure compliance with applicable laws.
  • Perform daily and weekly wine lot data entry tracking and traceability; ensure software transactions are performed accurately and timely.
  • Perform data entry audits by wine tiers to ensure accuracy and completeness. 
  • Assist as needed with the internal label approval process, COLA, and TTB submissions.
  • Collaborate with departments to ensure compliance needs and gaps are prioritized, identified, and addressed; advise internal stakeholders on regulatory and compliance matters.
  • Assist with internal and external audits to ensure adherence to compliance and quality standards and regulations.


Regulations & Agency Coordination


  • Engage with third-party consultants, service providers, and government agencies to resolve compliance issues as needed.
  • Be well-versed and knowledgeable in federal and state regulations for wine and spirits.
  • Stay abreast of upper acceptable quality limitations (AQLs) for all supply materials.
  • Serve as key point of contact internally and with our third-party compliance partner to ensure the company complies with all regulatory requirements for all of the various company federal and state licenses.


Requirements


  • Must be at least 21 years old.
  • Bachelor's degree in relevant field.
  • Certification for quality control (such as ISO 9000) is a plus.
  • 1–2 years’ experience in the principles and practices of compliance, quality management, and quality assurance, preferably in the wine industry.

Working Conditions


  • Long and irregular hours during peak seasons and special events or audits.

  • Sitting for long periods of time (8 hours per day). 
  • Requires local travel to and from production locations and may require limited travel on an as needed basis for locations outside of local area. Local area is defined as no greater than 45 miles from Company headquarters.
  • Must be able to lift at least 45 lbs.
  • Regular working schedule to include weekdays, and some evenings.
