The Maricopa County Department of Transportation has an immediate opening for an experienced Management Assistant. In this role, you will provide office management assistance to the Construction and Materials Division in constructing new roadways, bridges, culverts, and all other roadway features.

We Require
  • A combination of post-secondary education and/or job-related experience may substitute for the minimum qualifications on a year-for-year basis
  • Two years supporting construction/engineering/inspection offices or closely related field
  • Associate degree in public, business administration or closely related field
Job Contributions
  • Provide Administrative Assistance including process and compose documentation such as correspondence, memoranda, letters, reports and other documents as needed; maintain calendars, schedule meetings and appointments; prioritize and resolve meeting conflicts; answer phones
  • Review contractors’ payrolls for the correct labor hours, fringes, and benefits and for compliance with the Davis Bacon Act, prompt pay and Disadvantage Business Enterprise (DBE) laws
  • Coordinate and process staff training, travel, and onboarding
  • Act as the construction office manager for transportation construction projects and perform all office manager duties including using construction management software to create daily diary reports, monthly pay estimates, time reports, prepare and review change orders, and pay for contract pay items
  • Provide administrative support to Division management that includes the handling of sensitive details and assignments, including new employee onboarding, tracking personnel lists, organizational charts, external contact information etc.
  • Perform other tasks as assigned
  • Assist in auditing Federal Aid and Non-Federal Aid construction projects by reviewing construction contracts and practices for compliance with federal aid requirements including the Davis Bacon Act, Disadvantaged Business Enterprise (DBE) laws, On the Job Training (OJT) program, Equal Employment Opportunity (EEO) requirements, and Title VI laws
  • Setup and manage files for construction and maintenance projects
  • Maintain the Division budget including creating, tracking, processing, and closing purchase orders; manage and pay for invoices; support staff in ordering supplies, creating purchase orders, and paying invoices
Working Conditions
  • A valid Arizona driver’s license by the time of hire
  • May exert up to 10 lbs. occasionally or negligible weights frequently;
  • The position is typically office or administrative work and is not substantially exposed to adverse environmental conditions
  • May sit for extended periods
