UW Medicine’s IT Services department has an outstanding opportunity for a Management Analyst - CAO!
In collaboration with UW Medicine IT Services (‘ITS’) and under the general guidance of the Administrative Manager, the primary focus of the Management Analyst (‘Analyst’) position is providing program and operational management support to a major IT program through the planning, coordinating, and directing of administrative programs and special projects to achieve departmental and team goals. Management Analysts are assigned to one or more program.
The major IT program areas are:
  • Application Systems

  • Analytics

  • Infrastructure

  • Medical and Nursing Informatics

  • Information Security

  • IT Operations

  • Research Information

  • This position will be assigned to the Chief Administrative Officer who leads the IT Operations program, which includes the Project Management Office, Population Health and Digital Engagement Solutions, IT Service Management, Human Resources, Administration, and Finance.
    RESPONSIBILITIES
    Program Management (50%)
  • Responsible for the management and successful completion of program projects/tasks to include planning, organizing and coordinating other various programs, projects and services involving diverse administrative operations.

  • Manage the Chief Administrative Officer’s calendar and respond to meeting requests on a daily basis.

  • Organize, support, and take minutes for high-level meetings involving VPs, Division Heads, Division Administrators, and high-level Executive Heads of UW Medicine and its affiliates.

  • Coordinate team’s travel needs in alignment with UW and department-specific policies and procedures.

  • Collaborate with team on the implementation of improved administrative methods, policies and procedures.

  • Program Analysis and Reporting (30%)
  • Collect analytical studies and statistical data on a variety of programs and issues.

  • Coordinate and expedite reports and program information from departmental input.

  • Utilize procedures and forms.

  • prepare reports and correspondence.

  • Liaison with other IT units and UW departments to assist in determining methods, procedures and costs pertaining to services or programs and conduct cost benefit analyses where appropriate.

  • Program Implementation and Process Improvement (15%)
  • Coordinate the deployment of contract arrangements with other organizations and outside vendors.

  • Coordinate FTE support as assigned.

  • Confer with IT units, other UW or UW Medicine departments and may draft presentations on assigned projects and programs.

  • Provide staff support to committees or other IT units as assigned.

  • Primary contact for daily operations with external vendors.

  • Other (5%)
  • Participate in all aspects of improving the team, including education/training of other team members and contributing to process/communication improvement initiatives.

  • Work with manager to set professional goals for career development.

  • Act as back-up for other team members and functions, as needed.

  • REQUIREMENTS
    Bachelor’s Degree in Computer Science, Business Administration, or related field or equivalent combination of education/experience.
    3+ years’ administrative experience in a complex matrix organization involving the analysis of administrative concerns and the development of policies while demonstrating the following:
  • Proficient computer skills in a Microsoft Windows environment; must include Outlook, Word, PowerPoint.

  • Strong analytical skills.

  • Demonstrated experience writing, proofing, and editing for grammar, accuracy, and clarity.

  • High level of communication skills in person, over the phone, and in email.

  • Demonstrated experience managing various operational support processes for a team.

  • Evidence of the practice of a high-level of personal and professional ethical behavior.

  • Ability to adhere to departmental standards of confidentiality.

  • Demonstrated experience managing multiple complex activities.

  • Demonstrated financial experience with fundamental budget practices and principals.

  • DESIRED
  • Previous experience in and knowledge of academic healthcare systems and/or operational environments.

  • Advanced degree (e.g., Master’s, PhD, etc.)

  • 1+ year of direct project management experience.

  • Proven skills with SharePoint, Tableau or other visualization software.

  • Collaborative tools such as Wikis and Google Doc.

  • This is an Information Technology deadline-driven work environment.
  • The individual in this position is expected to work normal daytime hours. The majority of work is performed in an office environment during normal business hours; however, significant off-hours and weekends may be needed to resolve problems and respond to emergencies. This individual is expected to be available for emergencies (business continuity/disaster recovery efforts) on a 24x7 basis as needed.
  • Must coordinate projects without direct supervisory authority.
  • Must work within the constraints of multiple technical environments.
  • ITS provides services to all UW Medicine organizations – HMC, UWMC-Montlake, UWMC-NW, VMC, UWNC, UWP, SOM, and ALNW. The individual in this position must learn many organizational structures and cultures and continually foster collaboration.
