Planned Parenthood Federation of America (PPFA) is a 501(c)(3) charitable organization that supports the independently incorporated Planned Parenthood affiliates operating health centers across the U.S. Planned Parenthood Action Fund is an independent, nonpartisan, not-for-profit membership organization formed as the advocacy and political arm of Planned Parenthood Federation of America. The Action Fund engages in educational, advocacy, and electoral activity, including grassroots organizing, legislative advocacy, and voter education.

Planned Parenthood Federation of America (PPFA) and Planned Parenthood Action Fund (PPAF) seek a knowledgeable and responsive Mail & Print Specialist. This job reports to the Associate Director, Workplace Administration & Support Services, under the Operations’ Safety, Security & Workplace Services in the National Office located in New York City. The Operations and the Safety, Security & Workplace Services teams provide efficient business solutions with a priority on customer service throughout the organization.

Purpose:


The Mail & Print Specialist is charged with carrying out the daily work of the Mail & Print operations: sorting and scanning mail, responding to email and in-person requests, printing the full range of Mail & Print goods (from standard items to custom jobs) and assisting with regular inventories, upkeep, and staff interactions. Additionally, they are expected to be able to handle medium-difficulty design work using Adobe and other programs and to become experts on the current and new equipment available in Mail & Print operations.

As a member of the Workplace Administration & Support Services, they may be asked to assist with other duties when circumstances require.

Delivery:

The Mail & Print Specialist is the first point of contact for all staff seeking services from Mail & Print and the first person to start work on all requests. They are responsive, polite, and professional, and above all, precise, delivering consistent results day in and day out. They are expected to be capable of problem-solving to diagnose issues both in and outside of Mail & Print operations and to respond to novel problems in keeping with existing procedures and precedents. They should be able to independently produce all of Mail & Print’s standard and custom print work and be comfortable improvising and experimenting to fulfill new types of requests when applicable.

Regular collaboration with the Sr. Specialist, Mail and Print, as well as the Associate Director of Workplace Administration and Support Services, will provide opportunities to grow in new areas and proactively engage in driving the business. While not expected to manage the Mail & Print operations, the Mail & Print Specialist should be capable of operating the Mail & Print alone for limited periods of time, as circumstances require.

Mail & Print interacts with every team in the National Office, and the Mail & Print Specialist is expected to provide an equal level of service to each of them. Clear communication and understanding of Mail & Print policies and procedures is required to deliver accurate information and finished goods; kindness and empathy in responding to requests are strongly encouraged. A strong and precise command of language is essential to make sure our requesters feel heard and understood.

Knowledge, Skills and Abilities (KSAs):

Education:
  • Associate’s degree or comparable industry certification and experience
  • Printing or visual design background preferred

Experience:
  • Specific exposure to reprographics operations and/or mail & shipping processes
  • 1-3 years of related work experience

Skills and Behaviors:
  • A deep commitment to Planned Parenthood’s mission of promoting Sexual and Reproductive Health
  • Ability to maintain a high level of confidentiality and discretion.
  • Has high ethical standards and exemplary customer service skills are mandatory
  • Experienced and confident with Mail & Print technologies and equipment, especially commercial-scale printers and cutting/binding equipment
