Job Description

Job Summary

Summary: Our organization is looking for an organized Location Coordinator. In this position, you will assist with a variety of customer service and administrative duties. These tasks include greeting guests, answering phones, assisting in meeting planning, managing email and mail correspondence, and multiple calendars. You may also assist with ordering office supplies.


Essential Duties and Responsibilities:

Welcomes greets and assists visitors; Notifies appropriate employee(s) of visitors; Manages visitor log and creates visitor badges. Ensure their first impression of SAP is consistent with our corporate values.


• Maintains Reception Desk to answer and direct calls phone calls and support general office inquiries.

• Reserve Conference Room space on behalf of staff members via Outlook calendar.

• Manages meeting room calendars and communicates event details to team members to ensure the setup and execution of the events are flawless.

• Liaisons with customers, vendors, and staff for event operations.

• Reviews event schedules and ensure all room and facility requirements are communicated and fulfilled, coordinate with janitorial and facility staff.

• Inspects and maintains the appearance and functionality of conference rooms for quality assurance, safety, and company standards.

• Facilitates work order escalations with vendors, clients, and coworkers.

• Communicates daily with the team to ensure office needs are being met.

• Creates and maintains conference room database containing specifications, digital images, room directions (print and electronic versions), audiovisual capabilities, standard room setup, and peripheral inventory.

• Coordinates receiving, storage, and delivery of materials from speakers, exhibitors, meeting planners, and delivery companies; documents and tracks all support items to guard against loss.

• Helps with catering-related materials.

• Fosters solid working relationships with all service-related vendors.

• Supports perks programs, including free lunch/lunch vouchers and pantry services, and catering.

• Manage catering services, as needed by supported departments, and help with clean up once meetings have adjourned.

• Collects and records office activity using Excel data tracking tools.

• Coordinates food and beverage service, including restocking of customer areas, pantries, lunch & lunch voucher programs, and catering requests

• Monitor employee lunch program, and ensure proper delivery and quality are satisfactory.

• Manages office equipment and supplies, re-orders, and re-stocks as necessary according to office standards.

• Oversees the distribution of building access cards.

• Process incoming and outgoing Mail (USPS, FedEx, UPS, Stamps.com, etc.) Maintained mailing supplies.

• Pick up incoming mail from the mailroom, sort and deliver it to the proper person.

• Performs other duties as assigned.
