Job Description
POSITION SUMMARY This position is a newly created role being added to the U.S. Venture Legal team in support of our continued growth. The Legal Operations Specialist is responsible for driving operational processes and practices to improve the day-to-day efficiency and effectiveness of the Legal Department to deliver strong business results. This position will lead the contract administrative process(es) for the Legal Department in support of business operations. This position will collaborate closely with the Legal team and work cross-functionally with all divisions and Corporate Resource Departments. This position involves considerable individual judgment and initiative while dealing with complex subject matters.
This role can work in a flexible, hybrid model with generally 3 days spent working on-site in Appleton and 2 days remote.
JOB RESPONSIBILITIES
Contract Management: Support legal and business teams in lifecycle management of contracts from inception, through negotiation, to close, including managing templates and facilitating the company’s contract management technology, contract tracking, record-keeping, and administering contracts in the contracts management database.
Corporate Entity Management: Assist paralegals with ad hoc and recurring corporate filings and licensing requirements for regulated services; manage Know Your Customer requests in collaboration with other departments; assist with entity management requirements and oversee appointed corporate registered agent; and maintain corporate organizational charts.
Project Management: Define roles, responsibilities, accountabilities, and timelines for project tasks. Coordinate the activities of cross-functional teams to ensure alignment and successful execution.
Process Improvement: Find opportunities to create or improve processes, be aware and share best practices, develop playbooks, training, and improve efficiency across the entire legal team.
Technology: Partner with IT department to implement and administer technology solutions to optimize legal performance.
Collaborate across Legal team and cross-functional business partners to support business needs
Establish, implement, update and maintain written policies and procedures associated with the development of Company’s legal processes
Operate a personal computer utilizing one or more software packages to generate general correspondence, reports, spreadsheets, presentations and graphics
Duties may include the preparation of complicated spreadsheets and reports, assembling information from diverse sources, and preparing correspondence
May coordinate/assist with top-level meetings, conferences and public relations activities and events
Provide back-up to the Administrative Specialist’s day-to-day functions, as needed
Must maintain confidentiality of company information

QUALIFICATIONS
Bachelor’s Degree preferred
Minimum of five (5) years of relevant experience in similar jobs, preferably with a reputable law firm, a legal department of a private or public entity, or a financial institution
Ability to read and understand contractual terms
Excellent organizational, analytical, problem solving, attention to detail and communication skills
Demonstrated experience in project management and process improvement
Ability to effectively build, manage and maintain cross functional relationships and responsibilities, as well as those with third party consultants
Proficient in team communication with the need to be concise and professional
Demonstrated proficiency in using multiple software programs including Excel, PowerPoint, Word, and SharePoint
Innovative, resourceful, exceptional at problem solving, takes ownership
Ability and willingness to travel in order to work with off-site personnel
Accounting knowledge: expense and invoice payment
Budget management skills preferred
Experience managing shareholder transactions a plus
