GENERAL SUMMARY/OVERVIEW STATEMENT:
The inventory/purchasing specialist provides procurement process support to Biomedical Engineering. May triage repair requests and provide ad hoc support to other administrative areas in Biomedical Engineering. The specialist will have extensive contact with technical staff and clinical engineering staff as well as Materials Management, MGB support departments, i.e., Accounts Payable.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
1. Review purchase requisitions for replacement parts and/or supplies for medical devices maintained or serviced by the Department
2. Review purchase requisitions to determine their conformance with established policies and procedures.
3. Prepare, submit and track purchase orders, collect packing slips and account orders for parts and supplies used by the dept. Implement hospital procedures for expedited orders including telephone, fax and computerized ordering.
4. Resolve Purchase order and account payable problems with suppliers
and end-user customers.
5. Identify and/or select potential sources of parts and supplies.
6. Identify and evaluate competitive sources of service for repair.
7. Evaluate competitive offers and determine the total end-use cost for products/services.
8. Evaluate supplier performance.
9. Monitor purchase orders for parts under warranty. Ensure that parts under warranty or contractual arrangement are managed appropriately.
10. Maintain accurate and current inventory records of all replacement and repair parts.
11. Stock parts and supplies in an orderly manner in locations where repairs are performed.
13. Maintain a current library of component and replacement part catalogs.
14. Investigate multiple sources for replacement parts and cross-reference substitute components and parts to achieve maximum economy and timely delivery.
15. Ship and receive parts and equipment for the Department.
- Maintain par levels of stock for parts and supplies used regularly or needed for critical repairs or emergency service.
- Assist with equipment database administration, i.e., routine editing and report preparation as directed by Database Manager.
- Perform other related duties as required.
QUALIFICATIONS:
Associates degree or equivalent education preferred. Experience in purchasing, accounts payable, information systems and/or customer service support related work.
SKILLS AND ABILITIES REQUIRED:
1. Skills with databases and PC applications, including spreadsheets.
2. Knowledge of mechanical and electronic components and supplies used in medical and research device service.
3. Excellent organizational skills.
4. Ability to endure long periods of walking and standing. Lifting heavy boxes and equipment typically not exceeding 75 pounds/person.
5. Human relations skills necessary to be part of a team.
6. Communication skills required to discuss parts and inventory needs and problems with vendors, technicians, engineers and other hospital staff.
7. Good verbal and written communications skills.
8. Perform in a highly independent manner working within the broad scope of established department policies and goals. Ability to take initiative and prioritize tasks.
WORKING CONDITIONS:
May work in clinical or repair facility with exposure to biological contamination, e.g., blood, and hazardous electrical or mechanical energy, e.g., high voltage. Periodic lifting of heavy objects, typically not exceeding 75 pounds/person.

FISCAL RESPONSIBILITIES:
Monitor monthly budget reports for accuracy of purchase orders placed
Monitor monthly costs of parts and services purchased
Maintain accurate and current inventory records of all replacement and repair parts.
