Job Description

Description

Based in San Francisco with spacious, modern offices in the Hobart Building in Downtown San Francisco (by Montgomery Bart) and Dogpatch/Potrero Hill, with opportunities for telehealth.

Role Responsibilities:

  • Bridge high-achievers and entrepreneurs with clinical and coaching support.
  • Conduct intake sessions with clients interested in therapy; gather mental health information to inform clinical assessment, therapist match, & most effective evidence-based treatment plan
  • Assist owner with inbox & calendar management
  • Build community of future therapists through Career Changers Scholarship administration.
  • Implement marketing/editorial content calendar to increase social media engagement (LinkedIn, Instagram, Twitter, Facebook)
  • Coordinate scheduling to book prospective and current clients’ sessions
  • Kindly provide curated referrals for clients needing different resources
  • Onboard new clients including facilitating completion of service agreements, scheduling recurring sessions, and setting up telehealth portals (ie: Simple Practice, Notion, Zoom…)
  • Guide prospective clients through the stages of initial outreach - consultation - scheduling - onboarding - first appointment - returning. Maintaining waitlist when appropriate.
  • Manage processes associated with business administration (ie: replenishing office supplies, onboarding new employees)
  • Coordinate office property management & subleasing agreements.
  • Oversee billing processes including monthly invoices, superbills for insurance reimbursement, and updated payment information

Requirements:

  • Technically savvy, detail-oriented, & thrive in fast-paced environment
  • Intellectually curious regarding clinical skills-building & operationalizing inefficiencies
  • Completed bachelor’s degree or higher for psychology related field, engaged in evidence-based clinical training(s), and/or have relevant industry experience
  • Maintain appropriate boundaries of the Intake/Operations Coordinator position
  • Uphold privacy and security laws. Understand ethical obligations of clinical profession
  • Meet clients’ need for some morning, evening, and/or weekend availability
  • Empathetic, well-informed, and resourceful while supporting prospective and current clients
