Job Description

Greenberg Traurig, a global law firm, has an exciting full-time employment opportunity for an Information Onboarding Manager in the Technology Department. This position can be based in various Greenberg Traurig locations. We offer competitive compensation and an excellent benefits package.

Position Summary:

The Information Onboarding Manager is responsible for all aspects of onboarding records and information into the firm, including being the primary contact for electronic and physical files coming into the firm. The Information Onboarding Manager serves as the primary point of contact for multiple departments within GT, and answers internal and external queries about RIM processes and procedures. This position requires the individual to be a subject matter expert and to implement the department’s strategic vision. This position also assists and oversees selected records team members who include information onboarding as part of their daily work activities.

Duties & Responsibilities:

  • Provides exceptional client service while ensuring compliance with firm standards and policies
  • Demonstrates solid knowledge of RIM policies and procedures, data privacy issues, and electronic data management
  • Participates in project teams to develop processes to operationalize our strategies
  • Demonstrates professional advancement through participation in professional organizations and activities
  • Documents workflow to quickly respond to questions about past mobility projects
  • Processes matter mobility requests and all aspects of onboarding information for incoming and current lawyers and clients
  • Clearly articulates and champions the firm’s strategic IG vision
  • Manages lifecycle of materials in various document repositories relating to the matter mobility process
  • Proactively manages incoming information to comply with firm standards
  • Creates process and rigor around meetings and project planning to ensure the most effective results out of team meetings
  • Coordinates workflow with shared resources
  • Provides subject matter expertise for program development and advancement
  • Ensures compliance with firm and client security protocols such as Legal Holds and Ethical Walls; this will include securing and auditing access to file repositories
  • Builds strong, collaborative working relationships across firm departments and client teams
  • Communicates with lateral and current attorneys about the onboarding procedures
  • Some travel is required
  • Oversees and assists team with core services, including:
  • Provides coaching and staff development and training
  • Proactively identifies process exceptions requiring active management
  • Communicates status updates to lawyers and Records staff regarding information intake process
  • Establishes compliance criteria in support of National Records Manager for all core services

  • Ability to establish and maintain effective working relationships with all levels of the organization and collaborate well in a team
  • Recognize confidential, sensitive, and proprietary information and maintain confidentiality
  • Strategic leader who is an innovative thinker with a natural ability to influence and motivate others, and who will lead by example
  • Strong end-user working knowledge of Microsoft Office, Windows 10 & 11, and the Windows file systems
  • Excellent interpersonal and communication skills (oral and written), and professional demeanor and presentation, including active listening and ability to convey information clearly
  • Must understand both the business and practice of law, and understand the needs of the legal teams in the office
  • Ability to work under pressure to meet strict deadlines, adapt to a fast-paced environment to achieve business goals and objectives
  • Highly motivated, self-starter who can work well under minimal supervision, as well as take a proactive approach in being team-oriented
  • Analytical with strong problem-solving skills, takes initiative and uses good judgment, and has excellent follow-up skills
  • High attention to detail, outstanding organizational skills, and the ability to manage time effectively

Qualifications & Prior Experience:

  • 5+ years of records management and/or IT database management or related experience
  • Bachelor’s Degree or equivalent experience is preferred
  • 1 to 3 years of management or supervisory experience required, preferably in a law firm or other professional services firm
  • Working knowledge of electronic file management and the Windows file system required; experience with legal document management software such as iManage Document Management, NetDocs, DocsOpen, iManage Records, or FileTrail strongly preferred
  • Previous experience managing and tracking incoming electronic data from multiple entry points through ingestion into firm systems
