Job Description
Description Reporting to the Team Lead, HR Shared Services Onboarding, this role will be responsible for supporting the US, and international Onboarding program. This role will provide support, guidance, and training to Hiring Managers and New Hire’s going through the onboarding process. You will work collaboratively with Talent Attraction, Human Resource Business Partners, IT, and the HR Shared Services Team, to ensure that all appropriate onboarding activities are efficiently and effectively managed in a timely manner.
What you will do:
  • Responsible for monitoring and reviewing Hiring Manager task activity, sending reminders, or engaging directly where tasks are not being managed effectively. Escalate to HRSC Onboarding Lead and/or HR where appropriate
  • Monitor New Hire onboarding activity, ensuring all data collection tasks are completed and compliance forms are accurate and e-signed within required timelines
  • Troubleshoot issues identified within the onboarding module or raised by Hiring Managers, Responsible Groups or New Hires working collaboratively with System Administrators/IT to ensure a quick and effective resolution
  • Support the ongoing development and continuous improvement initiatives within the Onboarding Team by participating in activities such as training, testing and the review and update of process documentation and team ways of working
  • Responsible for ensuring New Hire compliance paperwork meets legislative requirements and is received within the appropriate time frames. Engage directly with new hire should documentation be inaccurate or missing. Inform HR if any issues
  • Provide support as required by HRSC Leaders in relation to business projects / initiatives
  • Achieve a good understanding of companies' HR policies and procedures pertaining to New Hires, to be able to provide guidance and support, make administrative and procedural recommendations and exercise judgment on sensitive issues in alignment with corporate policy/regulations. Deferring to Team Lead as appropriate
  • Become a master of the SuccessFactors Onboarding Module to effectively provide support and training for hiring managers, responsible persons, or new hires to help understand their role in the onboarding process
  • Safeguard employee privacy where appropriate, including confidentiality and protection of sensitive information
  • Manage the data transitioning from one system module to another, checking for accuracy and completeness, working with Talent Attraction or HR to resolve any issues identified and ensure data is corrected
What you will bring:
  • Experience of working with a HRIS systems such as SuccessFactors/SAP or Workday
  • Ability to be flexible in terms of working schedule, potential requirement to work overtime or weekends during peak activity periods
  • Proficient in Microsoft Office
  • Demonstrated self-motivation, analytical, problem-solving skills, and initiative to achieve desired outcomes
  • Experience using SuccessFactors, Recruitment, Onboarding or Employee Central modules is desired
  • Excellent customer-service orientation with the ability to influence others and build strong relationships with all levels within the organization
  • Bachelor’s degree or equivalent work experience
  • Excellent attention to detail with the ability to maintain accuracy in a fast-paced environment
  • Minimum 1-3 years’ experience working in a HR Administrator or Coordinator role
  • Experience with Canadian and US HR data, Company policies and process and legislative requirements
  • A focus on self and team development, to improve the performance of the Onboarding and HRSSC team through continuous learning
  • Excellent communication skills, including ability to provide training virtually or in person, as well as the ability to write clearly and succinctly in a variety of communication settings and styles
  • Ability to manage multiple pieces of work simultaneously with strong results and goal orientation
  • Experience of HR data management and working within a multinational company would be considered an asset
