Job Duties:

The Housing Specialist Assistant (HSA) provides support to the Housing Specialists and work processes within their division. The HSA will interview clients, assess their needs, determine appropriate referrals, assist with paperwork completion, and start the eligibility process. The HSA will also provide support at the reception area as needed.

General duties of the Housing Specialist Assistant : Provide a variety of support tasks to assist housing specialists including telephone coverage, routine correspondence, filing, maintenance of case records, client assessments, file reviews, etc. Meet with clients to conduct assessments as needed using excellent customer service and communication skills. Conduct face-to-face interviews using interviewing techniques and assist customers in completing required forms. Assist in the determination of new or continued eligibility and connection to services. Complete data entry in various systems. Review paperwork for completion, update and maintain spreadsheets, and maintain files. Prepare, file, scan, copy, and/or fax required records, reports, and related data using accepted methods. Complete basic mathematical computations using a calculator. Plan, organize, and prioritize daily tasks by accepting directions from the supervisor and co-workers. Assist in the preparation and delivery of reports. Assist in division operations including support for administrative staff where needed. Assist in the operation of front desk activities to include but not limited to: receiving department/division visitors/guests, starting the intake process for clients as necessary, and directing them accordingly; answering telephone inquiries, answering questions about the organization and/or city. Process transactions timely and accurately. Deliver excellent customer service .

The Housing Specialist Assistant will work within the Housing Services unit of the Homeless Services division. The Homeless Services division of Virginia Beach Housing and Neighborhood Preservation is responsible for achieving the goals of the City's strategic plan to reduce homelessness.

Minimum Requirements:

MINIMUMS: High school or GED plus two (2) years' experience in fields providing the required knowledge, skills, and abilities; or any equivalent combination of experience and training which provides the required knowledge, skills, and abilities. Must have, or obtain, a current and valid Virginia or North Carolina driver's license in accordance with Virginia or North Carolina DMV driver's license eligibility requirements. SPECIAL REQUIREMENTS: All employees may be expected to work hours in excess of their normally scheduled hours in response to short-term department needs and/or City-wide emergencies.

Preferences:

Customer service experience both on the phone & in person. Experience conducting intake assessments. Experience conducting thorough interviews to determine needs and program eligibility and collecting documentation. Data entry skills. Experience working with diverse populations, including vulnerable people. Experience de-escalating clients in crisis. Experience connecting clients to appropriate resources/services.

VRS Contribution: All full-time employees are required to contribute 5% of annual salary toward their retirement account; in accordance with VRS retirement provisions. This will be handled through a pre-tax payroll deduction.
