What You'll Do
Guest Services Specialists are responsible for administering the full portfolio of guest services including customer services and support, parks reservations, registrations and permitting with the goal of providing a high-quality visitor experiences.
The Guest Services Specialist is the tone-setter who leads with a welcoming approach for all visitors and customers. This position will work independently to determine how best meet guest needs and expectations in a manner which reflects County guest service values. This position is fast paced with ongoing customer interaction. As a member of the Parks Team and working closely with many other County departments, this position will require strong communication, collaboration, service, and technical skills and the ability to work well in a dynamic, fun, and respectful team setting.

- High School Diploma or GED AND three (3) years of progressively responsible experience in customer and guest services, hospitality, or reservations industries.
- Any combination of education and experience to total three years related to customer and guest services, hospitality, or reservations industries.
Nice to have experience:
- Experience with reservations systems.
- Experience with bookkeeping or cash and credit card management.
- Progressively responsible guest services experience.
These examples do not include all possible tasks in this work and do not limit the assignment of related tasks in any position of this classification. Regular attendance according to the position's management approved work schedule is required for all positions.
1. Administer the Parks reservation software system and deliver the Guest Services program including customer services and support, facility reservations, program registrations, permitting, point of sale, and reporting.
5. Initiate and manage communication and coordination with interdepartmental teams to ensure coordination of work and use.
6. Evaluate level of risk for all events and determine those requiring general liability insurance coverage based on County Risk Management guidelines. Collect and track evidence of insurance from clients or purchase coverage through Dakota County Risk Management as appropriate.
7. Represent Guest Services in various department and Countywide work groups, projects, initiatives and other appropriate meetings to represent Guest Services.
12. Stay updated on best practices associated with the hospitality industry, tourism, customer experience, data analytics and parks and recreation.
13. Manage payment processing for all clients and follow up on overdue accounts, request damage deposit refunds and determine when to withhold refunds as appropriate.
14. Recommend, develop and implement internal work methods and assist in establishing new procedures and processes to accommodate Guest Services program activities.

- Ability to enforce policies and procedures in a professional, customer-friendly manner
- Exceptional organizational and prioritization skills to balance a heavy workload efficiently.
- Strong cultural competency skills.
- Experience in marketing, sales or the facility rental environment.
- Solutions-forward approach, always anticipating service delivery needs and expectations.
- Demonstrated excellent customer service skills.
Work Environment
Work is primarily sedentary, although there is some walking, travel, and carrying of lightweight items such as laptops, notebooks, and work papers. The work is typically performed in an adequately lighted and climate controlled office. May require occasional travel to other park locations or Dakota County buildings.
