As a Front Office Associate at ELAM FAW TOLUCA, you will play a vital role in creating a positive and welcoming first impression for our clients, customers, and visitors. You will be responsible for providing exceptional customer service and performing various administrative tasks to ensure the smooth functioning of our front office operations.

Key Responsibilities:

  1. Welcome and Greet Visitors: Provide a warm and friendly welcome to all visitors, clients, and customers entering the office premises.
  2. Answer Phone Calls: Manage incoming phone calls, take messages, and direct calls to the appropriate individuals or departments.
  3. Customer Service: Address inquiries and provide information to clients and visitors in a courteous and professional manner.
  4. Appointment Scheduling: Assist in scheduling appointments and maintaining the office calendar.
  5. Mail Handling: Receive and distribute mail, packages, and deliveries.
  6. Administrative Support: Assist with various administrative tasks, including data entry, filing, and maintaining office records.
  7. Maintain Reception Area: Ensure the reception area is clean, organized, and stocked with necessary supplies.
  8. Security: Monitor access to the premises, issue visitor badges, and follow security protocols.
  9. Assist Other Departments: Collaborate with other departments to coordinate office activities and support their administrative needs.
  10. Problem Solving: Handle minor issues and complaints, escalating them to the appropriate personnel when necessary.

Qualifications:

  • Excellent organizational and multitasking abilities.
  • Professional appearance and demeanor.
  • Prior experience in a similar role is a plus.
  • Knowledge of basic office software (e.g., Microsoft Office Suite).
  • Proficiency in using office equipment, including computers, phones, and printers.
  • Customer service-oriented with a positive attitude.
  • Strong interpersonal and communication skills.
