Role Summary:


Kiln is expanding across the western United States and over the coming years will engage in numerous new Kiln site construction and build projects. In addition, Kiln will continue to upgrade and maintain its existing sites. Kiln is looking for an experienced Procurement Manager who will oversee Kiln’s procurement function, partnering with the Design and Build Teams to source, price, purchase, and ensure on-time and on-budget delivery of all materials and product (third-party FF&E, Kiln’s own products and components) required for new site projects or renovations/enhancements of existing sites.

Key Responsibilities:


  • Be forward-thinking with Kiln products and sourcing strategies
  • Establish, manage, and execute the procurement process from planning through execution and delivery to warehouse or Kiln site
  • Coordinate with Warehouse Manager or logistics provider to transfer Kiln products/components and FF&E to Kiln site and installed at the designated time for the project
  • Determine supplier/vendor qualification requirements
  • Track all orders from placement to delivery to warehouse, logistics provider, or Kiln site, ensuring adherence to delivery timelines
  • Work closely with Design Team to determine Kiln’s own products/components and all third-party FF&E needs for each project - product specs, usage, timing, and budget
  • Develop and manage standard bid documentation
  • Keep procurement schedule up to date with all information to allow for weekly reporting
  • Receive, approve, and submit invoices for payment
  • Maintain accurate procurement and budget records and collate information for weekly review by project team
  • Ensure product spec, warranties, cleaning/maintenance instructions, supplier contact details, etc. are recorded/filed and available as needed by Build and Community Team
  • Solicit bids/proposals; evaluate for suitability balancing quality, timeliness, and cost; approve winning bids
  • Produce purchase orders and issue relevant documentation to vendors/suppliers
  • Coordinate with Warehouse Manager or logistics provider to ensure all product is received in good working order
  • Identify, evaluate, and recommend short list of providers for various items/components


Requirements


  • Willingness to travel to manage out of state projects
  • Passion and understanding for Kiln’s mission and values
  • Innovative, able to look for out-of-the-box solutions
  • Highly organized and disciplined, with excellent attention to detail, quality, and seeing tasks to completion
  • 5+ years in procurement or supply chain management, preferably in an architecture or interior design practice, hospitality or real estate management
  • College graduate with a four-year degree
  • Good interpersonal and communication skills, both written and oral
  • Financially and commercially astute
  • Analytical, with strong problem-solving ability
  • Demonstrate integrity, dependability, responsibility, accountability, self-awareness, work ethic, and empathy
  • Studio Designer or other purchasing software experience preferred
  • Proficiency with design and construction software (e.g., Studio Designer, Procore)
  • Experience sourcing and pricing, negotiating and developing relationships with manufacturers and third-party vendors
  • Ability to multi-task and shift focus as needed based on project needs
  • Collaborative - a team player with a ‘can-do’ attitude who wants to learn and is open to suggestions
