Job Purpose

The Facilities Coordinator is the primary point of contact for supporting the HR functional team and Northbrook office in the coordination and administration of facilities maintenance and a broad range of human resources tasks. This position will be the day-to-day vendor and facility liaison and will also assist with human resources activities including talent attraction/onboarding, personnel file management, HR audit & compliance, and employee engagement.


Key Accountabilities

  • Manage, track, and resolve day-to-day facilities requests including maintenance tickets, building repairs, employee space planning and follow-up with vendors.
  • Coordinating ongoing facility repairs and preventive maintenance in collaboration with building technicians, vendors, and contractors.
  • Coordinate employee add/move/change process and weekly maintenance of facilities tracker and space plans.
  • Coordinate, with appropriate building ownership, the need for office equipment, supplies and/or office cleaning needs; coordinate with local IT desk moves; coordinate with building ownership the need for fire/safety inspection, culinary kitchen cleaning, and heating/ventilation/air conditioning repair work; and ensure Certificates of Insurance are obtained from vendors meeting building insurance requirements.
  • Maintain and periodically audit employment records related to pre-employment processing, onboarding, hiring, training, termination, leaves and internal employee movement and process administrative changes using our Human Resources Information Systems (HRIS) such as SAP, UKG, and E-file Cabinet.
  • Ensure personnel files are assembled and maintained with appropriate information in a timely manner; I-9 and eVerification compliance is conducted and filed in accordance with local laws and practices.
  • Monitor and process Human Resources & Facilities department invoices to ensure proper payment.
  • Support the annual internship program; position intake meetings with hiring manager, coordination of virtual employer branding and job fair activities, assist with recruitment and hiring activities such as background screening, on-boarding, and HR content and communication support.
  • Other ad hoc projects and duties as assigned.

Education/Work Experience

  • Ability to efficiently present information to an internal department and/or large groups of employees
  • Strong verbal, written communication and customer service skills
  • Computer experience with MS Office
  • Experience handling confidential files
  • 1-2 years of experience with employment compliance or HR audits
  • 1 year experience managing vendor agreements
  • Bachelors degree
  • Ability to timely follow through on initiatives and tasks for complete resolution
  • 1 year experience with budget management
  • Experience in planning, prioritizing and executing multiple tasks
  • 1-2 years experience with facilities management coordination
  • 1-2 years of experience in Human Resources preferred
