Work Schedule
Monday through Friday, 9:30 a.m. to 5:30 p.m.
Position Summary
The Facilities Coordinator assists in the office allocation of exterior and interior offices and workspaces and their appropriate equipping and furnishing, in addition to assisting with facilities projects. Detail-oriented individual able to work well independently to respond to requests for visitor offices, coordinate office moves, request Certificates of Insurance, respond to facilities requests and work with broader facilities teams on projects as needed.
Essential Duties and Responsibilities
Typical responsibilities include, but are not limited to, the following:
- Develop and/or refine systems and procedures for the effective and efficient execution of these responsibilities
- Coordination of the furnishing/equipping of offices and other workspace in advance of move-in
- Assist Facilities Department with new and ongoing projects
- Coordination of weekly move chart for attorney and business services personnel arrivals, moves and departures
- Coordination of attorney relocations to Davis Polk offices worldwide, including submitting invoices to accounting
- Assist Maintenance and Supply Department with new and ongoing projects
- Coordination and tracking certificates of insurance
- Assist with the coordination and decoration of counsel and partner offices
- Assist with assignment of offices, cubicles and workspace for business services personnel
- Inspection of the physical condition of the space by creating a “walk-through” calendar and by performing “walk-throughs”
- Assignment and coordination of visitor office space
- Assist Recruiting with coordination of attorney office assignments and moves and HR for business services personnel
- Assist in the planning and coordination of special conference center and firm events
Qualifications/Position Requirements
- Strong verbal and written communication skills
- Familiarity with law firm operations and culture
- Must be punctual and reliable
- Detail oriented self-starter with strong communication, interpersonal and organizational skills
- Ensure confidentiality of all Firm and client’s documentation and information
- Proficient in MS Word, Excel, PowerPoint, Outlook and other applications as needed
Education and/or Experience
- College degree preferred
- At least 2 years’ experience in law office facilities
Compensation
The expected base salary for this position ranges from $65,000 - $75,000. Salary offers are based on a wide range of factors including relevant skills, training, experience, education, and, where applicable, licensure or certifications obtained. Market and organizational factors are also considered. Davis Polk offers a competitive salary and comprehensive benefits package.
