About the Company:


Position Overview:


The Executive Assistant / Fractional Operations Manager will play a critical role in streamlining operations and supporting the business owner. This dual role demands an individual who can handle administrative tasks, manage key operations, and contribute to the strategic direction of the company - seamlessly and with minimal oversight.


Key Responsibilities:


Administrative Support to the Owner:


  • Manage calendars, appointments, and email correspondence - both personal and business
  • Prepare reports, presentations, and agendas for internal and external meetings.
  • Handle confidential documents and communications with discretion


Operational Management:


  • Identify operational bottlenecks and suggest improvements.
  • Coordinate with different departments to achieve company objectives.
  • Oversee daily operations, ensuring smooth workflow and efficiency.
  • Coordinate and oversee upkeep of all SOP's and Company handbook
  • Assist in budgeting, forecasting, and financial reporting.


Project Management:


  • Collaborate with internal teams and external partners/vendors.
  • Lead and oversee projects, ensuring timely completion.


Team Coordination:


  • Organize team meetings, training sessions, and workshops.
  • Serve as a communication bridge between the owner and the staff.


Required Skills & Qualifications


  • Excellent verbal and written communication skills.
  • Proven experience in operations or project management.
  • Proficient in MS Office Suite and Google Drive
  • Discretion and confidentiality.
  • Familiarity with Project Management tools (Asana or similar) and CRM systems (Keap or similar)
  • Have acute attention to details and be able to catch mistakes quickly and before anyone else
  • Be able to easily use and quickly learn new systems and technology
  • Ability to work independently, prioritize tasks, and make informed decisions.
  • Minimum of 1 years of experience in a similar role.
  • Strong organizational and multitasking skills.


Compensation:


  • Full benefit package begins at 35 hours
  • Part-time to full-time role starting at $25-35/hour
  • This position has room for quick growth and is completely dependent on your performance
