Job Description
L4E is seeking an Executive Assistant of Programs to provide administrative and operational support across our Programs team. This individual will be responsible for managing schedules, communications, travel arrangements, expenses, project coordination, and other administrative tasks as needed.
Responsibilities
Provide Executive Level Administrative Support
  • Manage the accurate and timely submission of expense reimbursements and receipts, and maintain detailed records of all financial transactions related to the Programs team's activities
  • Support the Chief Program and Innovation Officer (CPIO) in her day-to-day operations, including (but not limited to): managing calendar, scheduling meetings, and arranging travel
  • Capture and organize takeaways, action steps, and other important information from meetings attended by the Programs team lead and other team members
  • Support CPIO with the creation and/or revision of meeting materials, including providing decks and other collateral as needed
  • Assist the CPIO in coordinating and tracking project activities, deadlines, and deliverables for the Programs team, as well as liaising with other teams within the organization.
Support Programs Team Operations
  • Support the operational needs of the programs team including project management support
  • Coordinate marketing materials and production for special communications projects
  • Support with planning and logistical support for events
  • Conduct scheduling and logistic needs for in-person team meetings and retreats
  • Support the management of agendas for Programs team meetings, cross-functional team meetings and any additional necessary communications
  • Conduct research to gather data or other helpful information for the program team's priorities
  • Provide support with data entry, maintenance, and reporting in Salesforce and any other relevant platforms, ensuring accurate and up-to-date information is entered and readily available to the Programs team
  • Participate in team meetings and collaborate with teammates vertically and horizontally on special projects
  • Help build organizational culture and embody Latinos for Education core values
Requirements
We’re looking for a highly organized individual who has the following:
  • Demonstrated ability to manage up and influence others to action as needed
  • A strong understanding of the education sector and can also demonstrate cultural competence towards the Latino community
  • Ability to manage multiple competing priorities at once
  • Strong oral and written communication skills, including superior writing, copy editing, and proofreading ability
  • A forward-thinking and innovative approach to problem-solving and the ability to bring new ideas and perspectives
  • Passion for the mission and values of Latinos for Education
Preferred Qualifications
  • Experience with Salesforce and data maintenance
  • A minimum of 1 year of project management experience
  • 2+ years of professional experience
  • Bilingual (Spanish and English)

Compensation Philosophy
Latinos for Education offers competitive industry rate salary bands to retain and grow talented individuals. We conduct a robust internal and external benchmarking process to ensure that our salaries are competitive.
The salary range for this role is commensurate with experience and is as follows:
  • Mid-Point: $57,500
  • Compensation Band: $43,000 - $65,000
The compensation band midpoint represents the market rate for a position, and a candidate that fully meets the qualifications and experience required for the role will generally be paid at this level. An offer made to a candidate that is above the midpoint would represent someone who is extraordinarily qualified and/or the role requires being geographically placed in the Bay Area.
