Position: Events Manager


Reports to: Vice President, Development


Hours: Full-time


THE ORGANIZATION


Book Trust is a national early literacy 501(c)3 organization founded over twenty years ago with the mission to engage every child in book choice and ownership, cultivating literacy-rich communities. Our vision is that every child, especially children from underserved communities, has access to books and discovers the joy and power of reading. Book Trust acts as an equity game changer, bridging the opportunity gap in order for students to choose books of interest and become life-long learners. Now more than ever, Book Trust home libraries serve as a learning safety net as our nation’s education system copes with school closures and distance learning. We partner with Scholastic Book Clubs, School Districts, and Teachers to deliver our program to students and families in 13 states across the country.


Position Summary


The Events Manager position is primarily responsible for overseeing project management and execution of fundraising events in order to engage donors, inspire attendees, and celebrate the stories of our students and teachers. The Events Manager works to create strong project plans, engage relevant stakeholders, and create compelling, engaging, and inspiring external events. The position will work closely with the Director of Development to engage our Regional Advisory Boards in the planning and execution of events.


Responsibilities


Signature Recurring Events


  • Work closely with the Director of Development to develop a revenue plan for the event (sponsorships, paddle raise, solicitations, etc.) and ensure that is carried out.
  • Work closely with the Vice President of Communications to ensure that there is a communications plan in place and that materials are ready as needed.
  • Create and track guest lists for all events, ensuring that we are appealing to and attracting the appropriate audience.
  • Craft a night-of run of show outline for a compelling event and ensure that speakers have what they need to be successful.
  • Choose and communicate with vendors to ensure a successful event.
  • Create and track budgets for all events, ensuring that we stay on or under budget and that financial choices align with the event vision.
  • Create project plans for three different annual events to ensure that the events are inspiring, well-attended, shared with the community, elevate the voices of our students and teachers, and ultimately generate revenue either during the night itself or through thoughtful post-event cultivation.
  • Create a plan for post-event follow up and ensure that it is carried out.
  • In collaboration with the Director of Development, ensure that our Regional Advisory Boards give input on the events and are set up to drive attendance to events.


Book Celebrations and New Prospecting Events


  • Collaborate with VP of Development, Director of Development, and CEO to create a vision for new prospecting events throughout the country.
  • Develop project plans (including invitation lists) and execute them to ensure events are intimate, compelling, and generate enthusiasm for Book Trust so that attendees wish to become more involved with the organization.
  • Create a strong follow up plan for each event / Book Celebration and ensure that it is carried out.
  • As needed, work with vendors to execute events.
  • Collaborate with the Program Team and Regional Advisory Boards to execute recurring Book Celebrations in schools to bring donors and prospective partners closer to our work.


Requirements And Qualifications


  • Balances team and individual responsibilities; exhibits objectivity and openness to others’
  • Ability to work nights and weekends for events as needed.
  • Ability to travel as needed, approximately 25-30%.
  • Ability to initiate and build relationships with vendors to ensure that events go smoothly.
  • Must demonstrate the capacity to evaluate and make informed and independent decisions regarding event choices.
  • Professional and mature demeanor with strong ethical standards and ability to adapt to change.
  • A sense of humor and ability to work collaboratively in a remote team environment.
  • Bachelor’s degree and 3+ years of experience in non-profit events planning is preferred
  • Views; gives and welcomes feedback; contributes to building a positive team spirit; puts success of team above own interests; able to build morale and group commitments to goals and objectives; supports everyone’s efforts for success.
  • Excellent organizational skills and detail-oriented focus, especially in event execution tasks.
  • Demonstrates a passion for the organization’s mission.

  • Salary range: $55,000 - $60,000
