Background

Responsibilities


Reporting to the Assistant Director of Admissions and Visit Center Coordinator, this position serves as the primary events coordinator for all in person and virtual events, including off campus and on campus events for prospective and admitted students. This position is also responsible for day-to-day visitor center maintenance and hospitality and will interact daily with prospective students and their families visiting campus.


  • Coordinate Prospective Student Events


Coordinates Fall Preview Day programs for prospective students and families. Determine dates, reserve event space, order catering, develop program content and communication for campus events. Work with campus partners, including faculty, staff, students, and administrators.Finalize agendas and duty roster assignments for admissions staff for event days.


  • Coordinate Signature Admitted Student Yield Programs


Serve as the point person for coordinating several signature admitted student yield events and receptions. Determine dates, reserve event space, order catering, develop program content and communication for campus events. Work with campus partners, including faculty, staff, students, and administrators. Finalize agendas and duty roster assignments for admissions staff for event days.


  • Coordinate Multicultural Receptions


Supports the Senior Admissions Counselor for Multicultural Recruitment in coordinating three on campus multicultural admitted student events. Determine dates, reserve event space, order catering, develop program content and communication for campus events. Work with campus partners, including faculty, staff, students, and administrators. Finalize agendas and duty roster assignments for admissions staff for event days.


  • Coordinate Off Campus Receptions


Supports the Senior Admissions Counselor for Southern California andSouthwest recruitment in coordinating two regional receptions for admitted students/families in Los Angeles and San Diego. Determine dates, reserve event space, order catering, develop program content and communication for campus events. Work with campus partners, including faculty, staff, students, and administrators.


  • Virtual Event Planning


Assists in the planning and scheduling of any virtual programs for prospective and admitted students. This will include working with theAdmissions Counselor lead to identify virtual programming options to showcase campus partners and distinct programs. Create virtual events inSlate and develop comm flow to promote the virtual events.


  • Visit Center Hospitality


Responsible for hospitality services inventory and maintenance and upkeep of the Visitor Center and Admissions Office.


  • Other Duties as Assigned - Serve as event coordinator lead for other miscellaneous on campus events (i.e. I Love SMC Day, Counselor VisitExperiences, etc). Serve as ‘Counselor of the Day’, which includes presentations to prospective students, parents and counselors; maintain continuous contact with prospective students via e-mail, phone, and office visits. Identify swag or giveaways for students at events. Respond to all phone calls and emails within 1-2 Business days. Opportunity to attend professional development conferences (CIVSA).

REQUIRED: BA and/or equivalent knowledge, training & experience


PREFERRED: BA


Experience: (years required and applicable field of experience): 1-3 years experience in higher education or directly related experience with demonstrated experience in providing extraordinary customer service. Preferably with experience in admissions or event coordination.


Skills/Abilities: (e.g. computer skills, written & verbal skills, trades, laws, procedures, technical) Excellent verbal and written communication, and well-developed interpersonal and organizational skills are required. A demonstrated appreciation for the Catholic, Lasallian, Liberal Arts mission of the College, a commitment to diversity, and the ability to work well collaboratively as well as independently. A high level of initiative, energy, and flexibility will be highly valued in the selection process. Proficiency with word-processing software, database management, and internet usage.


Other Requirements: (e.g. travel, weekend/evening work) Weekend and travel work required. Ability to drive a car with a valid License.
