Job Description

Overview of Events Coordinator Position:

The Boys & Girls Club of Greenwich is seeking an Events Coordinator. This position is a part-time position. Hours are typically 25 hours a week with additional requirements around evening and weekend events.This position will report to the Director of Development and utilize interns and volunteers as needed.

The Events Coordinator is responsible for assuring the successful achievement of fundraising goals for all of the Club’s special events.This position will be responsible for planning, developing and implementing the fundraising plans of all major events including the Youth of the Year Dinner, Annual Benefit, and Golf Event.Additional cultivation events include the Annual Board Dinner, Thanksgiving Feast and Pancake Breakfast.

Candidate will lead the overall development of the event fundraising strategy and where appropriate engage, manage and motivate high-level volunteers and donors to facilitate their successful participation in achieving assigned revenue goals. The Events Coordinator will work cooperatively with the Director of Development to cultivate and secure corporate sponsors for these events and to maintain long-term relationships with these entities.

Responsibilities:

·Develops, implements and assures the success of fundraising plans for reaching financial goals of events including budgets and timelines for each unique event.

·Serves as point of contact for fundraising event logistics, budgeting and planning.

·Oversees all event details including but not limited to décor, audio-visual, catering, payment platforms, printed/digital materials, guest lists, venue, entertainment, speakers, all rentals, and manage VIP guests.

·Negotiates all vendor contracts with input from Director of Development and Finance.

·Works collaboratively with Finance and Development Team to ensure reconciliation of contributions and donations.

·Manages, motivates and stewards fundraising committees for each event comprised of high-level community volunteers, board members and corporate leaders.

·Ensures thorough follow-up from special events including internal and external reporting, post-event communication to attendees, acknowledgment process, public relations and accounting.

·Implements a Strategic Plan in partnership with Director of External Communications and Director of Development for all events geared to unique audiences; write all marketing copy for both print and digital event promotions.

·Identifies and cultivates a deep volunteer pipeline to ensure event leadership is in place a minimum of one year in advance.

·Works collaboratively with colleagues to plan and implement events appropriate for individual donor prospects, and CRM leads to support the Club’s individual giving targets.

QUALIFICATIONS

Education:

Bachelor’s degree preferred, or minimum of 5 years non-profit or events experience.

Experience:

Minimum of five years of demonstrated successful experience planning and leading significant fundraising events: Recruiting and cultivating high-level volunteers. A successful track record should include working with Committee Members to meet fundraising objectives and with planning, managing and initiating solicitations. High-yield committee fundraising experience is essential.

Skills:

·Excellent verbal and written communication skills as well as strong interpersonal skills.

·Independent worker and ability to show initiative.

·Knowledge of successful special event fundraising practices.

·Intermediate Microsoft Word and Excel skills along with database management (Raiser’s Edge experience preferred).

·Demonstrated understanding and utilization of fundraising techniques to research, identify, solicit gifts from various donor sources (i.e., individuals, corporations, foundations).

·Experience with events promotion through social media, online giving and email marketing platforms (Constant Contact) essential.

·Demonstrated ability to work with and motivate committee members and volunteers in resource development efforts.
