The MassBioHub is MassBio’s state of the art conference and business center. It is a unique and flexible space located in the heart of Kendall Square and is offered exclusively to MassBio members. The center can accommodate 2 – 150 individuals in-person, with the option to also host hybrid or virtual events.

Our Hub team is growing, and we are currently seeking a hands-on Event Coordinator. The Coordinator will oversee all meetings and events taking place in the Hub, and act as the main point of contact to clients throughout the day. Our ideal candidate is able to deliver exceptional service and experiences, and thrives in a fast-paced environment.

Key Responsibilities Include:

  • Work closely with our audio visual vendor to schedule dedicated technicians for events as needed
  • Greet the clients when they arrive and act as the main point of contact throughout the day
  • Perform other duties as they relate to business operations and conference center performance
  • Work one on one with the Hub’s day porter to ensure all rooms are set-up accurately and on time
  • Act as a liaison with our preferred caterer on daily F&B deliveries and setups; assist with setup when needed
  • Work closely with supervisor on high level internal and external event needs and provide extra planning support as needed
  • Act as the main point of contact for all audio visual needs onsiteTest, setup, and troubleshoot general audio visual in addition to being the main point of contact for the client regarding technical needs
  • Take part in weekly Banquet Event Order meetings with supervisor to determine the upcoming needs for the Hub
  • Oversee all meetings and events taking place in the Hub; serves as a source of expertise and guidance to a diverse clientele with various levels of meeting and event knowledge

Qualifications:

  • Detail oriented and proactive with proven ability to deliver exceptional service and events
  • Excellent organizational and work-management skills with the ability to shift priorities when necessary to meet deadlines
  • Ability to multitask and adapt quickly, while maintaining a high level of customer service in a high-distraction, ever-changing environment
  • Excellent verbal and written communication skills with a demonstrated ability to communicate effectively with a variety of constituencies
  • Bachelor's Degree preferred; significant work experience can substitute for degree
  • Proficiency using the latest versions of Microsoft Word, Excel, PowerPoint, Access, and mail merges; email and web searches
  • Ability to manage multiple priorities, projects and work assignments from a variety of staff and member representatives
  • A minimum of 2 years of event experience required

Additional Qualification:

  • Ability to prepare a meeting space by moving tables, chairs, and prepare a general conference room set-up
  • Flexible schedule to include early morning and late nights
  • Must be able to lift 25 lbs.
