Entry level position providing support for project related financial functions such as: establishing and maintaining project files, cost tracking, project forecasting/reconciliation, invoice preparation, project scope changes, monitoring cash flow, working with project event management and account teams to monitor performance of projects by providing analysis of project data, compliance with client contracts, and providing client with final billing. Work closely with management for knowledge of job responsibilities and client history.


Scope


Responsible for routine level projects, ranging from a minimum of $5 million and up to $50+ million in yearly client project revenues. Actual individual volume varies based upon many factors including client/sector assignment, number of assigned projects and revenue recognition methods.


Reporting and Working Relationships


Reports to a Manager or Sr. Manager of Event Accounting. Works in collaboration with Event Management and/or Sales to manage project financials across assigned accounts. Frequent interaction with other members of Event Accounting in addition to interaction with client contacts, participants and vendors as necessary.


Primary Responsibilities

Event Budget/Cost Tracking/Billing: Works closely with management to ensure all projects accurately reflect revenues and gross profit and updates in system. Reconciles project details in accordance with client/vendor agreements and internal closing policies. Prepares and reviews client invoices and issues them according to the client agreement to ensure positive project cash flow. Works with client, account team and Accounts Receivable to collect payment of past due invoices. Adheres to and ensures compliance with all applicable policies. Provide updates to Event Management regarding financial aspects of the project. With assistance, analyzes project data and proactively identifies and reports project profitability opportunities to Event Management and Sales teams. Works with Account Team to develop project budget detail.

Contract Compliance and Documentation: Provides guidance on internal contract policy to Account Teams, Event Management and/or Sales regarding requirements. Monitors financial compliance with project Letter of Agreement, Statement of Work and other documents as required. Maintains all required financial documentation for GAAP, internal and external audits. May work with corporate audit department on all internal, outside auditors, and client auditors as requested.


Qualifications


  • Bachelor degree in accounting, finance, or general business or a minimum two years related experience in an accounting or finance function
  • Financial analysis experience is a plus
  • Strong oral and written communication skills
  • Travel may be required as needed to assist in various capacities such as: on-site client operations, remote client meetings or branch office visits
  • Knowledge of financial practices, principles, processes and systems preferably in a corporate environment
  • Proficiency with Excel spreadsheets
