Position Summary


The National Audubon Society Equity, Diversity, Inclusion, and Belonging (EDIB) team seeks a dynamic and detail-oriented candidate to join our growing team. Reporting to the Chief EDIB Officer, this position will provide high level operational and administrative support to the Chief EDIB Officer, as well as support the tactical delivery of select projects in the EDIB portfolio.


This is a new position and will be key part of the EDIB Department. The Program Associate, EDIB must possess high-quality judgement, prioritization and organizational skills and drive tasks / projects to completion under limited supervision and collaboratively as part of a team.


The EDIB team is highly collaborative and passionate about National Audubon Society staff and programs.


Compensation


$20 - $26 / hour (contingent on geo-differential)


Essential Functions


  • Ensure EDIB digital files and data are up to date, including vendor and staff data, program information, and evaluations as the basis for EDIB reporting and fundraising efforts.
  • Utilize good judgment in the organization and prioritization of calendars; proactively and efficiently keep leaders up to date through recurring check-in meetings.
  • Lead the coordination for all virtual and in-person EDIB team activities including recurring meetings and off-site retreats.
  • Other job-related duties as assigned.
  • Provide administrative support to the Chief EDIB Officer, including scheduling activities, writing correspondence, answering inquiries, maintaining Outlook calendars, making travel arrangements, and processing travel expenses and reimbursements.
  • Manage research and prepare appropriate briefing materials for functions/meetings the Chief EDIB Officer needs to attend, including background materials, reports, etc.
  • Create and administer surveys to evaluate EDIB trainings and programs and partner with key internal stakeholders on employee engagement data, demographic data, and vendor diversity data.
  • Manage expense processing and budget tracking for all EDIB vendors and programs.
  • Prepare and edit correspondence, communications, presentations, and other documents as requested.
  • Prepare agendas and take notes at internal meetings as requested.
  • Monitor, screen, respond to and distribute incoming communications for the Chief EDIB Officer.
  • Partner with EDIB colleagues to respond to staff inquiries related to Audubon’s EDIB initiatives including updates, reports, contact information, grants and other financial transactions, and correspondence.


Qualifications And Experience


  • Genuine interest in conservation and birds is a plus.
  • Has understanding and interest in anti-racism, environmental justice, transformative justice and/or restorative justice frameworks that inform Audubon’s internal and external EDIB efforts.
  • Strong people skills and the ability to work both independently and as part of a team. High-level of emotional intelligence and self-awareness.
  • Excellent written and verbal communication skills, as well as ability to edit and proofread documents.
  • Willingness to work flexible hours and/or for occasional weekend or evening meetings and events.
  • 2 years' professional administrative experience. Experience supporting an executive leader is a plus, but not required. Associate’s degree or higher preferred but not required.
  • Advanced proficiency with Microsoft Office suite applications, including Excel, Word, Outlook, and PowerPoint, as well as knowledge of or the capacity to learn other web-based tools such as Concur, Slack, Asana, and Survey Monkey.
  • Ighly self-motivated with demonstrated critical thinking skills and strong aptitude for continuous learning
  • Ability to travel as needed.
  • Proven administrative and time management skills and ability to complete a high volume of varied responsibilities in a fast‐paced setting, make decisions, and effectively move programs forward with keen attention to detail, thoroughness, and accuracy.
  • Demonstrated ability to work with confidential, sensitive information.
