Zachry is currently accepting applications for a Document Control Supervisor for Venture Global's Plaquemines LNG project in Port Sulphur, LA.

Document Control Supervisor ensures project document management responsibilities are accomplished in accordance with established operating procedures. A Document Management Supervisor provides project-based leadership and supervision for the accomplishment of project related document management functions. This person understands the importance of the document management lifecycle to the contractual and litigation aspect of the work and is able to provide direction and training to others in the area of documents management practices.

Position Summary: The Document Control Supervisor will have a good understanding of the project document management responsibilities, required software systems, and corporate operating procedures necessary to function in a fast-paced multitasking environment. Understanding of contractual reporting requirements, coordinating the initial setup of the Document Management area with the Home Office Project Controls Services Manager assistance as wells as coordinating all Close Out activities with the Home Office Project Controls Services Manager assistance is also required of this position. The Document Management Supervisor is also responsible for the accurate tracking and storage of all documents received and sent from the site. This position is typically project site based.

Position Responsibilities:

The primary responsibilities of this position include:

  • Processing all incoming and outgoing project documents, in accordance with established procedure,
  • Accurately and effectively communicate with other members of the project team regarding document status.
  • Perform periodic audits of record information,
  • Supervise a small group of document controllers including training; ensure the procedures and processes are being followed. Provide feedback to document controllers when needed on performance, changes in processes/project.
  • Distribute documents in an accurate and timely manner,
  • The receiving, tracking, retrieval, and distribution of all project documentation, including, but not limited to: Transmittals, Requests for Information (RFI’s), Correspondence, Other Notices such as Engineering Change Notices (ECN’s), Field Memos, Field Action Requests (FAR), Meeting minutes, Safety Documents, Contracts, Drawings and Specifications, and Daily Reports,

Valued but not required skills, knowledge and abilities:

  • Knowledge of Windows based products including Word, Excel, PowerPoint, SharePoint, Bentley Enterprise Bridge, Idocs, Co-Console.
  • 2-5 years of office administration or document control experience at construction site
  • Associate or Bachelor’s Degree preferred

This Position Reports To: When available, the Document Control Supervisor reports to the Document Control Manager. When a Manager is not assigned to a project, the Document Control Supervisor reports to the Project Accounting Manager onsite.

Reporting to this position: This position will have supervisory responsibility for document control coordinator(s).

Physical demands and work environment:

  • Physical demands: Ability to lift a minimum of 10 lbs. (Occasionally more)
  • Work environment: General office area or near moving mechanical parts and occasionally withstand loud noise environments; two on-site construction sites
