Role

The Document Control Specialist will be tasked with electronically managing documents and records of the company. The Document Control Specialist will be responsible for maintaining an organized and detailed library of project documentation primarily using Hexagon SDX. The Document Control Specialist will be responsible for the administration and control of documents that are received, created, or issued as part of a project in an engineering environment.

The position will report to the Manager of Data Resources at the Reno, NV Business Office. Travel will be required as necessary.

Responsibilities

  • Proper identification and classification of documents according to company requirements.
  • Maintain an updated document review and distribution matrix.
  • Assist company and contractor project teams in search and retrieval or documents upon request.
  • Create and maintain document control Onboarding/Offboarding procedures.
  • Communicates and consults with staff when assessing, acquiring, or deploying new electronic document management systems integration to ensure smooth transition and minimal disruption.
  • Coordinate transmittals and issuances of all documents between appropriate groups. Able to create reports for verification and auditing purpose.
  • Ensures company complies with applicable laws and regulations regarding data security and document management.
  • Oversee and maintain access requests and training of staff.
  • Evaluates existing document management systems and procedures to determine current effectiveness and efficiency; identifies and recommends improvements.
  • Maintains current knowledge of best practices and developments in document management technologies and techniques through participation in professional organizations or conferences, attendance at meetings or workshops, participation in educational programs, and discussions with colleagues.
  • Other duties as assigned.
  • Establishes and implements policies and procedures regarding document storage, sharing, transmission, and destruction.
  • Consults with end users to identify problems in accessing electronic content.
  • Ensures security of system and integrity of master documents by implementing document and system access rights and revision controls.

Requirements

  • Familiar with various engineering deliverable types and formats.
  • Excellent analytical and technical skills.
  • MS Office skills required.
  • MS Teams and SharePoint skills are preferred.
  • General project experience a must.
  • Ability to handle many different responsibilities and follow through to completion.
  • Basic understanding of laws and regulations regarding document management.
  • Willing to learn Engineering Smart Tools systems.
  • Three (3) years of work experience in a related field preferred.
  • Bachelor s degree in business administration, information technology, or related field, or equivalent work experience required.
  • Excellent organizational skills and attention to detail.
  • Operations experience a plus.
  • Excellent and creative problem-solving skills.
  • Excellent verbal and written communication skills.
  • Ability to work in a fast-paced environment.
