We are seeking a motivated and detail-oriented individual to join our solar company as an Entry-Level Dispatch Coordinator. In this role, you will be responsible for efficiently coordinating and dispatching our service technicians to various customer locations. As the first point of contact, you will play a vital role in ensuring the smooth and timely delivery of our services. The ideal candidate is highly organized, possesses excellent communication skills, and thrives in a fast-paced environment.
Job Responsibilities
Receive incoming service requests from customers and internal team members, accurately documenting the necessary information.
Efficiently schedule and dispatch service technicians to customer locations, considering factors such as location, availability, and expertise.
Communicate with customers to confirm appointment details and ensure a clear understanding of their needs.
Coordinate with service technicians to provide them with all necessary information, including job requirements, customer preferences, and site-specific details.
Monitor service technicians' progress and update customers on expected arrival times or any potential delays.
Effectively resolve any scheduling conflicts or emergencies by reassigning resources and adjusting the schedule as needed.
Maintain accurate records of all service requests, dispatch activities, and customer interactions in our database.
Collaborate with other internal departments to ensure efficient workflow and optimal resource allocation.
Continuously improve dispatch processes by identifying opportunities for automation, streamlining, and enhancing overall efficiency.
Assist in monitoring inventory levels and coordinating the timely delivery of required equipment and materials to technicians.
Adhere to company policies, procedures, and safety guidelines to ensure a safe working environment for all employees.
Job Requirements
High School diploma or equivalent (additional education or certification in a related field is a plus).
Strong organizational and time management skills, with the ability to prioritize tasks effectively in a dynamic environment.
Excellent communication skills, both verbal and written, to interact with customers and team members professionally and courteously.
Ability to remain calm under pressure and effectively handle challenging situations.
Proficiency in computer systems and software, including dispatching software and Microsoft Office Suite.
Detail-oriented mindset with a focus on accuracy and completeness in all aspects of work.
Ability to quickly learn and understand technical concepts related to solar energy systems.
Flexibility to work occasional evenings, weekends, or holidays, as required to meet customer needs.
Prior experience in dispatching or customer service is a plus, but not required.
