Morris County Chamber of Commerce announces immediate job opening for position:

Director of Office Administration

The Morris County Chamber of Commerce (“Chamber”) seeks a qualified candidate to fill the role of the Director of Office Administration.This position reports to the President and is primarily responsible for assisting the organization in all aspects of the operations of the Chamber including, but not limited to the responsibilities below.This position may manage staff including interns.

The minimal position expectations include:

This position is responsible for the day-to-day operations of the Morris Chamber.The Director of Office Administration also provides a liaison function to the committees and Board and provides support for events and finance function.


Responsibilities include, but are not limited to:


Office management related tasks

  • Any other vendor or consultant
  • Oversee and perform set up conference room for meetings including but not limited to committee meetings and Board meetings and any additional meetings as necessary.
  • Staff liaison to vendors, including but limited to:
  • Accounting consultant
  • Phone support
  • Assist with the running of weekly staff meetings;
  • Organization of office and kitchen supplies and ordering of on a regular basis for the staff;
  • Landlord & Property Manager
  • Copier and printer vendor
  • Ensure operation of conference technology including set-up of laptop and projector;
  • Insurance broker
  • IT consultant
  • Human Resources consultant
  • Assist the President with scheduling meetings, as requested;
  • Oversee and perform administrative tasks including copies, mailings, maintaining files and general maintenance issues including interacting with vendors;
  • Ensure up to date fliers and magazines are in conference room;


Liaison responsibilities

  • Assist volunteer leaders including committee chairs and serve as staff liaison and coordinator of committees;
  • Along with other staff members, manage and respond to member inquiries;
  • Board of Directors: Schedule Chamber Board, Executive Committee, and Morris Business Cabinet meetings with the CEO and gather and distribute all information for these meetings via e-mail and make appropriate copies.Also assist in preparing an agenda and Board packets and taking minutes at the meetings, transcribing any notes and typing minutes;
  • Members: Along with other staff members, manage the Chamber’s CRM database (Atlas) to ensure existing member contact information is up to date and accurate;

Finance and Human Resources function support

  • Handle human resources paperwork including on-boarding and off-boarding of employees and tracking paid time off (PTO) of employees;
  • Assist with mailings and filings related to the accounting for the organization, as necessary;
  • Assist with accounts receivable outreach and collections and W9s;


Event Support

  • Assist with events including on-line registrations and day-of set up and on-site registration as requested;
  • Provide additional event support as needed;
  • Assist the President with preparing letters and contacting award winners and outreach to speakers for events and professional development seminars;
  • Work closely with the other Chamber staff members as a team player and assist with events as necessary including attending events and assisting with registration, name badges, table tents, and miscellaneous tasks;


Any additional tasks as determined by the leadership team;


The successful candidate will be:

·Be personable, collaborative, flexible, and a problem solver;

·Be extremely organized and able to meet multiple deadlines and have excellent time management and communication skills;

·Be comfortable using technology including phones, computers, televisions, projectors and printers and willing to learn new software and basic hardware operation;

·Come to know every aspect of the Chamber’s offerings;

·Interact with members and assist them to solve any issue that may arise including with their accessing, registering and updating information the Weblink database;

·Be adaptable in a fast-paced work environment and willing to learn;

·Be able to work flexible hours as requested;

  • Attend courses, conferences, and conventions as approved by the President, for continuing education purposes, acquisition of new skills and best practices;


The successful candidate will always conduct herself/himself in a polite, professional and ethical manner.Misrepresentations, extreme pressure, disrespect to members, prospects, or staff, or misuse of the CRM may result in disciplinary action up to and including termination.

Position Requirements & Qualifications:

Education requirements:Bachelor’s Degree required in fields such as general business.

Experience:

  • Familiarity with CRM systems is a plus, but not required.
  • Familiarity with Zoom software.
  • Basic competency in Microsoft Office software, in particular Word, Excel and PowerPoint.
  • Three to five years of experience working in an administrative capacity in a business setting.
  • Comfortability with computer hardware including turning machines on and off and basic laptop set-up.
  • Willingness to learn new technology.


This position is salaried, full time and not an independent contractor, however bonus(es) may be awarded at the discretion of the Board.Mileage will be reimbursed based on approval of the President.The successful candidate agrees to carry automobile insurance on his/her personal vehicle.

Salary Structure: Annual salary depending on level of experience.Benefits package offered.

Start date:As soon as possible and open until filled.
