Job Description

THE POSITION: Utah Clean Energy is seeking a dynamic and motivated individual to serve as our Development & Administrative Associate. This position supports our Development Director with donor acknowledgment and appreciation, database entry, prospect research, special events, and metrics tracking. The Development & Administrative Associate also supports the Operations Manager with administrative duties to ensure Utah Clean Energy’s office runs smoothly and efficiently. The Development & Administrative Associate reports to Utah Clean Energy’s Development Director.

RESPONSIBILITIES

Development

  • Coordinate the printing, mailing, and online distribution of recurring appeals and stewardship materials
  • Ensure data integrity through accurate database entry and ongoing database clean-up efforts (Network for Good)
  • Support the timely acknowledgement of donor gifts and assure that all types of donations (cash, pledges, matching gifts, and planned gifts) are properly documented
  • Assist with the writing and editing of appeals, acknowledgements, donor news, reports, and proposals
  • Prepare accurate research on donor prospects and assemble materials for the Development Director for cultivation and solicitation visits
  • Provide copy edits and support the development of grant applications for foundation requests
  • Assist with donor events planning, logistics, and processing of online RSVPs.
  • Assist with donor thank you, holiday, and recognition gifts and related communications
  • Track ongoing activities and results in Asana database for the Development Team, tracking progress on key metrics towards Utah Clean Energy’s strategic plan

Administrative

  • Support the Operations Manager in executing events and meetings, including coordinating schedules, logistics, materials, and vendors, for both external and internal events. (Occasional evening event assistance may be required with notice.)
  • Receive, sort, and disseminate incoming and outgoing mail and documents
  • Coordinate with the Operations Manager to ensure adequate office supply inventory, conducting quality-assurance walkthroughs, placing equipment orders, and maintaining positive working relationships with building management and all external vendors
  • Great Utah Clean Energy guests and visitors in person or by telephone; answer or direct general inquiries
  • Additional administrative duties to support the Executive Director and Deputy Director. The job duties will be outlined accordingly within the scope and specification of this position

ADDITIONAL SKILLSETS AND ATTRIBUTES:

Ideally, applicants should have an Associate’s degree and experience working in a nonprofit organization on fundraising and/or donor relations activities. Relevant administrative work and/or community experience will be considered as a potential substitute for a degree.

  • Proficiency in Microsoft Word, Outlook, and Excel.

COMPENSATION AND BENEFITS: The pay range for this position is $xx-$xx per hour. This is a full-time, non-exempt position. Compensation is dependent on relevant and demonstrated experience.
