The Tippie College of Business is seeking a Department Coordinator, who will provide administrative support to all functions within Graduate Management Programs - admissions, recruitment, career services, student services, and general office operations. This position will also serve as the first point of contact for the office and will interact with faculty, staff, alumni, students, corporate partners, and community members. Must be able to work collaboratively across departments, the UI Center for Advancement, and the community. This position is eligible for a combination of on-campus and remote work during academic breaks. Work arrangement options will be discussed during the hiring process. Possibility of supervising a student worker(s) in the future.
- Assist with Business Analytics Case Competition
- Provides travel support, including car reservations and processing receipts with University Shared Services
- General office maintenance, including purchasing of supplies and equipment
- Supports continuous improvement of office documents and templates
- Coordination of on-campus events, including scheduling rooms & reservations, booking catering, event set up, securing parking vouchers, and sending thank you notes
- Management of office promotional items, including pricing, ordering, and managing inventory
- Invoicing and payment for department activities
- Data management in Salesforce (related to corporate interactions), MAUI and Swipe (related to student interactions), and Excel
- Survey Preparation, Distribution, Collection – Student Experience Survey currently fall and spring; Elective Survey fall; and Faculty Award Survey fall
- Assist with program wide benchmarking projects
- Offer support to the Tippie Outcomes specialist, collecting and verifying data, coordinating surveys, and working on special projects.
- Monitor UIowa and community resources (newsletters, etc.) and share information as relevant and seek opportunities for collaboration
- Special projects as assigned which could include supporting student career development or corporate research and engagement
- Marketing support, including managing digital displays, creating email communications
- Supports the creation and distribution of presentations, annual reports, outcomes, and ranking applications
- Bachelor’s Degree or the equivalent combination of education and experience.
- Must be highly organized and detail-oriented
- Demonstrates experience 1-3 years and a working level of ability to carry out ongoing office administration tasks effectively and efficiently in support of individuals, teams, and/or units, including proficiency with computer software applications.
- Demonstrates commitment to diversity, equity, and inclusion in the workplace.
- Demonstrates a working knowledge of and application of the effective communication techniques and relationship building skills required to work with a variety of individuals and groups in a constructive and collaborative manner.
- Demonstrates the ability to make decisions and exercise a moderate level of autonomy while performing administrative support responsibilities.
- Experience creating or improving office operations
- Knowledge of University policies and procedures, including financial and human resources policies; and experience with university electronic systems including HRIS, MAUI and Workflow processes.
