We are looking for a talented and driven Medical Records Specialist to join our team. This is a part-time, 15 hours/week position based out of our Des Plaines, IL location. This position pays $15 - $17/hr.


You Will


As part of our Billing team, you will help us impact the lives of our kiddos by helping ensure Medical Records requests are processed timely and appropriately, resolving patient inquiries with a strong focus on customer service.


  • Verify that records for patients includes all information required for Third Party reimbursement. When you find discrepancies with a file, you request information and update the file with the appropriate information.
  • Be responsible for scanning, uploading, managing, and retrieving patient charts and records to ensure accuracy for billing purposes or to provide essential data to clinicians and clients.
  • Process and follow up with third-party collections and patient families as needed
  • You may perform other clerical work, such as preparing billing or payment documents and assisting with audits.


In this position, the Medical Records Specialist is expected to demonstrate outstanding customer service skills during every interaction. You will work closely with providers, payors, and patients responding timely to inquiries in efforts to follow up on payments and resolve accounts. We are looking for someone with a strong attention to detail and great customer service skills; we will teach you our processes and systems!

  • You are familiar with medical record management and have some experience with the fulfillment of medical record requests
  • You are interested in performing administrative and billing support, clerical, and data processing tasks of a routine but varied nature in conjunction with moderate but proficient computer skills. EMR experience is strongly preferred.
  • You have an eye for detail, as you will need to accurately and thoroughly document pertinent activities in appropriate systems.
  • You are a self-starter and can initiate and perform tasks without continuous direction.
  • You have strong interpersonal and communication skills.


On a Given Day, You Will Find Yourself


  • Record Retrieval and Transfers: Retrieve patient records as requested by healthcare providers, insurance companies, patients, and other legal entities.
  • Collaboration and Communication: You will work closely with providers, administrators, the billing department, and patients to ensure accurate record-keeping and efficient information exchange. Communicate effectively to clarify documentation requirements and resolve any discrepancies.
  • Release of information: Verify and authenticate requests for medical records prepare and release records to authorized individuals, ensuring proper consent and compliance with legal requirements.
  • Electronic Health Record (EHR) Systems: Utilize EHR software and other electronic databases to manage, store, and retrieve patient records. Ensure familiarity with relevant software functionalities and stay updated on technological advancements in the field
  • Data Entry and Documentation into the patient's records and EHR (electronic health record) system
  • Record Management: Create, scan, update, and maintain Electronic and paper-based medical records. You will ensure records are accurate and complete.
  • Privacy and Security: Adhere to strict confidentiality guidelines to protect patient privacy and comply with HIPAA regulations. You will safeguard medical records from unauthorized access, maintain secure storage, and implement privacy policies and procedures.
