GENERAL FUNCTION


The Marketing Operations Specialist will play a key role in the Costa North America Wholesale marketing organization as it relates to operational tasks required to execute marketing plans and initiatives. He/She will coordinate entry and tracking of purchase orders, invoices, and vendor onboarding. He/she will also assist with tasks required for distribution of marketing materials and displays to the North American market. He/she and act as a “power user” for systems required for these activities and will collaborate heavily between marketing, finance, accounts payable, and logistics to accomplish marketing objectives.


Major Duties And Responsibilities


  • Assist with procurement of displays and pop.
  • Assist Trade Marketing managers with custom art orders for windows, POP and market executions by putting together briefs and coordinating with design and print partners.
  • Become expert on all things fixtures and POP: catalog, distribution, installation, merchandising, & repairs.
  • Assist marketing team in data entry and submission of Purchase Order Requests, Vendor Applications, and Invoices within SAP, Kissflow, Excel forms, and LucyStar.
  • Use analytical and organizational skills to create fixture and POP forecasts and assist Trade Marketing managers in gathering and distributing against the forecasts.
  • Maintain fixture, display, & POP catalog on web based platforms (Regulator); update stock quantities, add new items, remove of discontinued items, update descriptions and pictures.
  • Coordinate marketing orders with allocation and shipping teams in Luxottica Distribution Center to ship orders requiring specific marketing deadlines.
  • Assist Marketing Operations manager in project management of instore buildouts and marketing execution by coordinating with marketing teams, sales teams, and 3rd party vendors.
  • Monitor marketing related product, fixture and POP orders between web based ordering tool (Regulator) and SAP to ensure automated EDI process is functioning correctly and troubleshoot any issues.
  • Provide weekly and monthly reports of inventory, order, and allocation as needed to provide user friendly information and monitor CapEx and Opex budget actuals.
  • Assist with data entry of fixture, displays, POP and promotional orders into SAP as needed to support events and marketing initiative rollouts.
  • Acts as power user for the following platforms: SAP, TradeUp, LucyStar, Regulator, & Kissflow


Basic Qualifications


  • Proficiency in Microsoft Office: Outlook, Excel, PowerPoint, Google Sheets, Google Slides
  • Undergraduate degree from an accredited institution
  • Strong Organizational and Time Management skills
  • Strong analytical, computer skills, business acumen, broad understanding of finance, and vendor management
  • 1 – 3 years of work experience
  • Strong communication skills and ability to ability to collaborate with cross-functional teams
  • Demonstrated track record of success in a similar role


Preferred Qualifications


  • Experience in project management a plus.
  • Experience with SAP a plus.
  • Work experience with a specialty retailer or distribution sales environment preferred
  • Work experience with fixtures and instore displays a plus.


Employee pay is determined by multiple factors, including geography, experience, qualifications, skills and local minimum wage requirements.
