Position Overview:

Jefferies is seeking a skilled and experienced Corporate Travel Operations Manager to support all aspects of corporate travel for our business travelers and the firm. This role offers the opportunity to maintain best practices and improve upon the current program through close collaboration with internal clients, stakeholders, and vendors. This role requires strong organizational skills, attention detail, and the ability to handle multiple tasks simultaneously. The ideal candidate will have impeccable communication skills, be well-versed in corporate travel industry practices, and possess a customer-centric approach to ensure a seamless and efficient travel experience for our travelers.

This position reports to the Head of Travel & Expense.


Responsibilities include:

  • Represent the firm in relevant industry forums and conferences to stay updated on potential solutions, best practices, and emerging trends
  • Assist with negotiation of favorable contracts, rates, terms, and discounts to maximize service and value for the organization
  • Troubleshoot issues across all areas including identification, impact and root cause analysis, resolution, testing, communication, and future mitigation
  • Reporting and Analysis
  • Maintain logs for team use including out of policy activity, internal events for T&E processors, etc.
  • Manage non-employee travel requirements with vendors including candidate, symposium, and intern travel and facilitation of client/roadshow as needed
  • Travel Program Support and Development
  • Work with third party vendor(s) via support portal case management or required methodology to identify, scope, resolve, and communicate as needed
  • Manage corporate housing requests for project or relocation lodging
  • Continuously monitor for opportunities to recommend workflow efficiencies or automation
  • Ensure vendor payments are accurate and timely
  • Promote travel department initiatives, communications, and intranet posts/documents; maintain and add to the team’s support portal site for global staff usage
  • Travel Technology
  • Conduct regular performance reviews to ensure adherence to service level agreements (SLAs), monitor and action key performance indicators (KPIs), and address any issues or concerns to full resolution
  • Miscellaneous
  • Vendor Management
  • Collaborate with internal teams and stakeholders (T&E, Travel Risk, IT, HR, Legal, Compliance, Operations, Audit, Business Continuity, etc.) as well as travelers, administrative staff, and business heads to ensure alignment and integration with company procedures and requirements
  • Manage online booking tool, meetings, and other travel technology platforms as required including routine travel, fixes, releases, functionality development, and ongoing maintenance/clean-up
  • Run and analyze travel data for trends/impact, compliance, and in support of internal business needs and contractual fulfillment; make recommendations for behavioral or cost optimizations
  • Gain and maintain subject matter expert-level knowledge of the firm’s policies, program, and industry at large to support travelers and firm objectives and continuously evaluate and improve to keep up with trends and advancements
  • Uphold the firm’s T&E Policy to ensure compliance with company guidelines and regulatory requirements
  • Support duty of care with Travel Risk, travel management agencies (TMCs), security firms, vendors, and local authorities
  • Benchmark against available resources for analysis and recommendations
  • Support ad hoc requests for day-to-day or programmatic needs
  • Provide training and educational assets for new hires and existing personnel
  • Conduct the annual global hotel request for proposal (RFP) alongside T&E leadership including solicitation, negotiation, implementation, maintenance, and communication
  • Support all aspects of new or existing vendors and functions across air, rail, car rental, ground transportation, online booking (OBTs), passport/visa, reporting, and TMCs

Requirements:

  • Willingness to work Eastern Time Zone (ET) business hours and flexible hours that accommodate international staff and travelers, as needed; appreciate that unsociable hours, while not the norm, are periodically part of this type of role
  • Ability to work independently, meet deadlines, and make sound decisions under pressure

  • Exceptional organizational and multitasking abilities
  • Proven experience in corporate travel or in a similar role within the travel industry
  • Fluency in online booking tools and expense management systems
  • Strong negotiation and vendor management skills
  • Familiarity with international travel regulations, travel risk management and duty of care principles
  • Strong ethical standards and integrity to handle financial and employee information with confidentiality and professionalism
  • Bachelor’s degree in a relevant field or equivalent work experience
  • In-depth knowledge of corporate travel policies, industry practices, and travel management systems


The salary range for this role is $100,000-$125,000
