This position, which serves both the film publicity communications team and the print publicity team, will have a strong concentration on media relations, involving regular interaction and coordination with press/media outlets, as well as talent and filmmaker representatives. This role will fulfill all coordinator duties while emphasizing effective communication and multitasking abilities. As part of the position’s daily responsibilities, this individual will proactively gather information from a wide range of sources (both internal and external) and maintain consistent communication with talent and filmmaker representatives and press to ensure effective follow-up and coordination. The ideal candidate will demonstrate superior verbal and written communication skills, strong organizational skills, exceptional attention to detail, and resourcefulness and quick thinking. Finalists for the position will be asked to take a writing and editing test.


Publicity Communications Responsibilities


  • Secure talent and filmmaker bios and obtain quote approvals for film production notes.
  • Create partner fact sheets.
  • Assist in writing production notes sections
  • Review and proofread photo ID sheets for precision and accuracy.
  • Update and maintain the Universal press sites with approved written documents.
  • Proofread and edit written materials as needed to ensure accuracy and consistency.
  • Create and edit consistent and accurate photo captions.
  • Assist in creating media alerts for premieres.
  • Obtain and track the status of final film credits.


Print Publicity Responsibilities


  • Manage print subscriptions for national outlets including newspapers, magazines and online sites.
  • Share real-time reviews with the internal team.
  • Create, distribute and manage press screening invites, including tracking RSVPs.
  • Provide staffing support at publicity events, including premieres, press junkets and screenings.
  • Update and maintain press contact lists and editorial calendars.
  • Update and maintain press lists, publicity reports, critics grids, status reports and other ongoing reports/lists.
  • Cultivate and maintain relationships with select press contacts to secure interviews, junket coverage, premiere coverage, festival coverage and reviews.
  • Manage and organize US print and media coverage reports, ensuring comprehensive representation of publicity campaigns across all titles.
  • Assist with editing and distributing print generic interviews for international territories.
  • Collaborate with the Daily Buzz team to compile timely and accurate media coverage reports, and share the reports with the internal team twice daily.
  • Participate in brainstorming and creative meetings and take meeting notes when necessary.


Responsibilities For Both Teams


  • Process invoices and establish new vendors.
  • Assist with research for upcoming projects and films, providing relevant information as needed.
  • Understand and prioritize internal hierarchies and functions, including major national press, filmmakers, talent and industry figures.
  • Provide administrative support to a Vice President of Publicity Communications and a Director of Publicity, including managing calendars, coordinating travel and preparing expense reports.


Qualifications


Qualifications/Requirements:


  • Must be excellent and proficient with PC and Microsoft Office software
  • 2 years’ experience as an assistant &/or coordinator

  • Ability to maintain strict confidentiality for highly sensitive materials and details is key


Additional Requirements


Hybrid: This position has been designated as hybrid, generally contributing from the office a minimum of three days per week.

Salary range: $45,000-$55,000 (Not bonus eligible)
