Job Description
Responsibilities


Core Responsibilites and Essential Functions


  • Collect requested information as directed
  • Efficiently multi-task numerous projects simultaneously. See above
  • Format various Microsoft Office documents
  • Coordinate functions of the division using effective project management.
  • Provide backup support for scheduling and payroll for division.
  • Assist with new pilot projects for Learning Resources, Learning and Development, and Leadership initiatives. Will report results to senior leadership and physicians.
  • Assist with integration of new projects/initiative into education plans including developing training and data collection tools for resource utilization.
  • Train new employees for a minimum of 16 hours on computer software and appropriate documentation.
  • Assist with weekly/monthly learning events including development of slides and reports.
  • Assist manager/executive director with system wide duties. Assist with coordinating meetings, minutes and other communications to team.
  • Provide administrative support to OL leaders and all areas of department
  • Assist with developing graphics and presentations for system/facility committees and division projects
  • Assist with orientation of new staff as needed
  • Adhere to budgetary constraints
  • Screen telephone calls and direct caller to appropriate party
  • Pay invoices
  • Display professional and courteous behavior in support of achieving organizational and division goals
  • Provide timely and accurate administrative support services
  • Provide CME/educational event support and follow up (on-site support, record learning, process transcripts)
  • Purchase items
  • Ensure quality customer service with an understanding and awareness for specific needs, chain of command and interpersonal relationships
  • Assist with developing presentations and meeting materials
  • Assist leadership team with monthly and daily schedule
  • Schedule meetings, meeting preparation (send out reminders, packets, set-up equipment, minutes)
  • Coordinate operational components of educational offerings
  • Process monthly detail trial balances
  • Greet visitors and direct them to appropriate party
  • Maintain division budget input and monthly review as required

Qualifications


Required Minimum Education


  • Equivalent work experience Required and
  • Skills and training in personal computer applications and medical terminology Required
  • Bachelor's Degree Required or


Required Minimum Experience


  • Healthcare administrative field Preferred
  • Minimum 5 years administrative experience Required and


Required Minimum Skills


  • Strong word processing skills;
  • Database management desirable.
  • Presentations and graphics applications.
  • Spreadsheet design and management;
  • Very strong organizational skills.
  • Familiarity with the management tools utilized within the WellStar.
  • Strong communication skills both written and verbal.
  • Ability to work collaboratively with and through other people.
  • Self-directed, ability to work autonomously and prioritize multiple assignments without direct supervision.
