In this role, you will perform concierge level service excellence to executive travelers and athletes and be responsible for accurately and efficiently handling incoming requests via multiple channels (i.e. phone, email, etc.). You will be the primary point of contact for the executive level travelers, admins, flight crew, and charter suppliers. This includes providing active travel consultation, including providing travel details and up-selling of related products.
As a Charter Travel Agent, you will
  • Rental car pick up/drop off, aircraft maintenance requests such as sanitation truck and catering needs
  • Monitor flight path to ensure a smooth travel experience and update clients as necessary
  • Recommend requester the best options
  • Travel may be outside of the US so monitoring may include all times of day or night
  • Once the quote is accepted, request the contract, crew sheets, and COI and send them for approval to VP, Risk Management, and Nike Chief Pilot
  • Request that the aircraft, crew, and operator meet or exceed Nike’s standards.
  • Request PO from Nike requestor and submit the number to the vendor before wheels up
  • Send a request to Nike's preferred vendor to obtain quotes on aircraft that is best fit for the client’s specific request, preferences, and desired itinerary
  • Assist passengers with any needs they may have while at the hangar, i.e. limo service, escort to showers, collect luggage, any personal assistance
  • When Charters are slow, the Charter coordinator will support the Executive/Platinum and VIP desks and needs
  • Work with Nike, BCD, suppliers, and colleagues to resolve issues
  • Book all means of travel for NET members, air, cars, hotels, limos, etc in GDS (Sabre)
  • If the charter is to fly into the Nike Hangar, travel to Nike hangar or other FBO in Hillsboro, and meet with the fight crew for any needs they may have for themselves or the aircraft
  • Confirm Manifest and request full names (on passports or government ID) birthdate/gender and passport information if needed
  • Communicate effectively as the liaison between BCD Leadership and Nike flight to ensure all parties are on the same page
  • Accept and service any travel requests for Nike’s CEO and previous CEO likely requested by executive assistant (s). This may include personal and corporate travel
  • Report any customer service issues, disruptions, or any impact on normal operations to both client and BCD management to ensure communication and resolution can be fluid between Nike and BCD
  • Collect details of the trip to add to the datasheet as required by the Nike Flight department for reports on all charters
  • Create rapport and relationships with the customer
  • Fulfill air, car, hotel, and limo requests for any flight crew associated with Charter as well as crew swap and recurrent training needs
  • Note, non-owned aircraft cannot be serviced at Nike Hangar. All servicing must be completed before picking up or dropping off passengers. Approval to use Nike’s ramp must be approved before usage as there may be other aircraft on the ramp. Must request approval from Nike Flight’s Chief of Maintenance to confirm appropriate staffing
  • Request additional trip details such as ground transportation, catering, and special needs
  • Request final invoices from Charter vendor to close the trip and add to the datasheet
  • Sit onsite at the Nike Hangar in Hilversum, OR at least 50% of the allocated time, working directly and participating in meetings, and communicating effectively with Nike Flight and the leadership team
About you
  • Solid working knowledge of the travel industry, policies, procedures, and processes
  • Prior VIP experience
  • Onsite but there is flexibility to work being remote.
  • Proficiency in Microsoft Office applications
  • Ability to multi-task on multiple systems to efficiently and accurately complete reservations
  • Advanced skills in travel industry system GDS Sabre
  • Advanced International reservations and fare rule experience
  • Proven ability to handle multiple priorities simultaneously
  • Strong verbal and written communication skills in English
  • Scheduling/Dispatching of Charter and private planes
  • Demonstrated internet research skills for customer information
  • Ability to work flexible hours (around 7:30am-4:30pm PT)
  • Extensive experience in the corporate travel management industry

The salary range for candidates in applicable jurisdictions in the US for the position of Charter Travel Agent is between $22.00 and $30.00. The actual pay depends on your skills, qualifications, experience and geographical location.
