Your tasks
- Answer phones and direct all incoming calls to appropriate party promptly and efficiently.
- Coordinate and organize appointments and host guests at on-site meetings.
- Provide administrative support to include travel arrangements, schedule/manage calendars.
- Coordinate and manage all vendors and contractor relationships.
- Create and manage facilities tickets in partnership with property management.
- Develop, maintain, and implement the office’s standard operating procedures including budget, procurement, and services.
- Manage all office mail, order inventory and office supplies.
- Assist with event planning.
- Manage accounts related to workplace amenities. This may include beverage, snacks, and leased equipment.
- Prioritize and manage multiple projects simultaneously and follow through on issues in a timely manner.
- Perform other duties as assigned.
Your qualifications
- 5 years’ related experience providing administrative support for C-level executives.
- 3 years’ experience in office management and office facilities maintenance.
- Proficient with Word, Excel, PowerPoint, and Outlook.
- Attention to detail, the ability to meet tight deadlines, and efficient organizational skills.
- Strong communication skills, both oral and written, and an ability to interact with all levels of management.
- Ability to work well under pressure, a team player with excellent prioritizing skills.
- Ability to work independently with little or no supervision.
